Job Description

Job Title:
Office Manager Reports to :
Chiropractor/Owner Purpose of Position:
The Office Manager serves as the operational leader of the clinic and is responsible for creating structure, accountability, consistency, and efficiency across all administrative and patient-service functions. This role oversees staff performance, training, scheduling, billing, collections, patient communications, KPI reporting, and process improvement initiatives. The Office Manager works closely with the Owner/Doctor to support the financial health, growth, and overall success of the practice while fostering a positive, team-oriented culture.
Duties/Responsibilities:
Schedule, confirm, reschedule, and manage appointments using practice management software Monitor and manage missed visits, late cancellations, and rescheduled appointments, including patient outreach and documentation Coordinate long‑term patient scheduling arrangements aligned with approved treatment plans Ensure point‑of‑service collections, proper invoicing, and overall billing workflows Monitor accounts receivable and follow up on declined payments, unpaid balances, and outstanding fees Communicate professionally with patients regarding missed visit charges, payment plans, and collections Review, update, finalize, and maintain office procedures, policies, and training manuals Conduct regular internal audits related to clinic operations, scheduling accuracy, billing, documentation, HIPAA compliance, and patient workflows Develop and maintain employee onboarding and training programs Maintain accurate patient records and ensure HIPAA and clinic policy compliance Order and manage office and clinical supplies; coordinate with vendors and service providers Maintain cleanliness, organization, and professional appearance of the clinic Track daily transactions and prepare end‑of‑day, weekly, and monthly reports Utilize CRM and practice management systems to generate operational, scheduling, and financial reports Monitor employee performance and KPIs such as visit utilization, missed visit rate, collections, aging AR, and patient retention Support strategic initiatives that contribute to patient retention and practice growth Provide insights and recommendations to ownership based on reporting trends Coordinate staff schedules and time‑off requests Serve as a leadership presence that fosters a positive, professional, and service‑oriented culture Assist with payroll and basic bookkeeping tasks as assigned Perform other related duties as assigned
Qualifications:
  • Education -High school Diploma or equivalent
  • (Associate's or Bachelor's degree in business, healthcare administration, or related field preferred) Experience 2+ years of experience in office management, preferably in a healthcare setting Licenses/Certifications CPR/First Aid? Knowledge, Skills, and Abilities
  • Bilingual (English/Spanish) required
  • Strong communication and customer service skills
  • Ability to lead professionally and engage in performance management Understanding and the ability to work with Microsoft Office Suite (Word, Excel, Publisher, Power Point, etc.)
  • Proficiency with scheduling software and basic office technology
  • Proficiency in working with relevant medical equipment
  • Ability to multitask and stay organized in a busy environment
  • The ideal candidate will have experience in healthcare administration, excellent communication skills, and a passion for patient care.
  • Familiarity with chiropractic or wellness practices is a plus
  • Proficiency in office software and practice management systems (e.
g., ChiroTouch, Jane, or similar)
Working Conditions & Physical Requirements:
Clinical office setting with occasional patient interaction May require standing for extended periods and occasional lifting of no more than 20 pounds.
