The Support, Advocacy & Resource Center (SARC) is seeking an experienced, organized, and dependable Office Administrator to join our team. This is a key position within our organization. The Office Administrator works closely with the Executive Director and provides the financial, administrative, and operational support that keeps SARC running smoothly. We are looking for someone who takes pride in accuracy, follows through on deadlines, enjoys creating order and organization, and can manage a wide variety of responsibilities in a busy nonprofit environment. SARC provides advocacy, support, resources, and prevention education for individuals, families, and communities impacted by crime. Our work requires professionalism, compassion, confidentiality, and a commitment to providing trauma-informed services. What You'll Do Responsibilities include: Maintain accurate agency financial records and assist with account reconciliation and monthly financial processes. Process accounts payable and accounts receivable and ensure bills and financial obligations are handled timely. Prepare and process semi-monthly payroll, including taxes, retirement contributions, leave accruals, and related payroll reporting. Ensure payroll taxes, 401(k) contributions, and other payroll liabilities are processed accurately and on time. Assist with annual audit preparation and provide requested financial documentation. Track grant awards, expenditures, deadlines, reporting requirements, and supporting documentation. Assist the Executive Director with grant applications and reports. Prepare deposits, process checks and reimbursements, and maintain accurate cash transaction records. Maintain personnel files and other confidential HR records. Assist with employee benefits enrollment, onboarding, travel arrangements, and agency training records. Oversee general office operations, including supplies, records, correspondence, equipment, vendors, and facility needs. Assist with agency events, fundraising activities, accreditation requirements, and other organizational projects. Provide professional and trauma-informed communication with clients, staff, community partners, and the public. What We're Looking For The successful candidate will be someone who is highly organized, reliable, accurate, and comfortable being accountable for deadlines and details .
Qualifications include:
Associate degree in Business, Office Administration, Communications, Human Services, or a related field preferred; equivalent education and experience will be considered. At least two years of related experience and/or training. Experience with bookkeeping, payroll processing, grant management, and database management . Strong attention to detail and ability to manage multiple priorities and deadlines. Strong written and verbal communication skills. Proficiency with Microsoft Office and comfort learning and working with digital filing, financial, and administrative systems. Ability to maintain confidentiality and exercise good judgment. Ability to work effectively with individuals from diverse backgrounds and communicate in a professional, trauma-informed manner. Strong problem-solving skills and the ability to work both independently and collaboratively.
