The Community Colleges of Spokane is seeking a highly motivated and qualified individual for the position of Office Manager (Foundation) in the District Development Office Department.GENERAL DEFINITION
Under general direction of the Executive Director of the Community Colleges of Spokane Foundation (CCSF), the primary purpose of this position is to facilitate the overall operations of the Foundation Office and to serve as the Foundation's records management officer. The Office Manager is responsible for the overall operations of the Foundation Office, to include coordinating all Board, Committee and staff meetings and scheduling, coordinating all office purchases and vendors, partnering with others throughout CCS for scheduling, acting as receptionist for callers and visitors, maintaining records on existing and prospective donors, providing a high level of accountability for the appropriate use of donors' gifts, ordering and maintaining supplies for office and events, and coordinating all office travel and Washington State purchasing-card (P-Card) transactions. In addition, the Office Manager serves as the Foundation's records management officer, to include gathering and distributing meeting materials, record-keeping of all Foundation Board and Committee meetings, record retention and governance documentation. Plan and gather materials for Foundation Board and Committee meetings. Schedule, coordinate and maintain records of staff, Board & Committee meetings and Foundation events.- Determine needs for office equipment, furniture and supplies. Coordinate purchasing and maintenance and maintain vendor relationships.
- Serve as the Foundations records management officer. Create/maintain filing systems, retention records, destruction and overall governance of Foundation documentation.
- Coordinate and reconcile all travel, mileage and P-Card purchases for the Foundation Office.
- Lead front desk staff on answering phones and initial visitor interactions. Manage the general Foundation email.
- Develop and maintain strong professional relationships with faculty, staff, students, administrators and community constituents, including working with individuals from diverse backgrounds. Serve as the liaison to other CCS service and technical departments.
- Serve as back-up staff for mail, gift receipting and gift processing.
- Provide high-level, confidential administrative support for the Foundation Executive Director and the CCS Foundation Board of Directors ensuring continuing effective and efficient operations.
- Act as part of the CCSF team, including attending internal and external meetings. Assist in implementing department strategies and approaches, supporting department-wide communications endeavors, and supporting other CCSF initiatives as assigned.
- Model professional decorum and mutual respect in all personal interactions.
- Comply with district policies, procedures and directives, state and federal regulations, orders and statute and collective bargaining agreements.
- Support and advance the CCS strategic plan, and perform other duties as assigned.

COMPETENCIES & OTHER REQUIREMENTS REQUIRED COMPETENCIES
(MINIMUMQUALIFICATIONS
) Associate degree from an accredited institution. Or an equivalent mix of education and experience that demonstrates the candidate meets all competency requirements for this position. Two (2) years of progressively responsible experience in office, secretarial, bookkeeping, accounting, or general administrative work. Demonstrated ability to handle interpersonal relationships maturely, thoughtfully and empathetically, including the ability to work with individuals from diverse backgrounds. Demonstrated ability to work with a high degree of flexibility in a highly collaborative, fast-paced and goal-oriented environment. Excellent organizational skills, including the ability to handle multiple deadlines and priorities in an executive setting. Ability to record, transcribe, edit and distribute meeting minutes. Excellent interpersonal, oral, and written communication skills. Ability to use computerized information/software relevant to the position. Ability to maintain confidentiality. Ability to make decisions in the absence of the supervisor. Acceptance of the responsibility to promote the welfare and best interests of students at all times. A demonstrable understanding and acceptance of the mission, values, goals, objectives and strategic plan of CCS. The ability to perform assigned duties in a manner consistent with applicable laws, regulations and goals of the institution, and community and technical college system. (DESIREDQUALIFICATIONS
) Three (3) or more years of progressively responsible experience in office, secretarial, bookkeeping, accounting, or general administrative work. Experience working in a non-profit environment.CONDITIONS/TERMS OF EMPLOYMENT TOTAL COMPENSATION WITH BENEFITS
: $58,613. Total compensation is an estimate based upon adding the following amounts together: Base compensation of $42,696 plus Current employer-paid health and related benefit contribution rates, plus Click here for a full list of benefits. Median retirement fund contributions. The actual total will vary depending upon each employee's enrollment choices. Person hired must be able to provide acceptable documentation of U.S. Citizenship or lawful authorization to work in the United States. This is an absolute condition of employment. An offer of employment will not carry with it any responsibility or obligation on the part of the District to sponsor an H1-B visa.
