We work with industrial facilities, government agencies, communities, universities, and other organizations on innovative air-monitoring programs. Our business is growing, and we're looking for an experienced Business Administrator / Accounting Coordinator to help manage the accounting and administrative side of the company. This is an important position within our organization. We're looking for someone who enjoys keeping a small business organized, takes ownership of responsibilities, and doesn't need to be reminded when something needs to get done. The position will initially be approximately 20-25 hours per week , with the possibility of expanding as the company grows. We are particularly interested in experienced candidates looking for a stable, long-term professional part-time position. What You'll Do You'll take ownership of the routine business and administrative functions that keep Argos running smoothly.
Your responsibilities will include:
Accounting & invoicing: Maintain QuickBooks, prepare customer invoices, track receivables and payables, reconcile accounts, and coordinate with our outside accountant. Payroll & employee administration: Coordinate payroll and maintain related employee and payroll records. Tax & business compliance: Keep track of quarterly filings, business registrations, insurance requirements, and other recurring government and business deadlines, working with our accountant and other outside professionals as needed. Proposals & customer administration: Help prepare and format proposals, quotations, contracts, vendor registrations, certificates of insurance, and other customer documentation.
General business administration:
Maintain organized company records and help us simplify and improve administrative processes as the company grows. You will not be expected to be an expert in every area on your first day. We're looking for someone with a strong accounting and administrative foundation who can learn our business, gradually take ownership of these responsibilities, and help us develop efficient processes. What We're Looking For The ideal candidate has previously handled accounting and administrative responsibilities for a small or medium-sized business. We place a high value on practical experience and good judgment . You may be a particularly good fit if you: Have several years of bookkeeping, accounting administration, business administration, or office-management experience. Have strong practical experience using QuickBooks. Have experience with customer invoicing, accounts receivable, and accounts payable. Have administered or coordinated payroll. Understand the importance of tax, payroll, and government filing deadlines. Are comfortable working with accountants, payroll providers, customers, vendors, and company management. Are highly organized and detail-oriented. Enjoy taking responsibility for getting things done rather than waiting for individual tasks to be assigned. Look for ways to simplify inefficient administrative processes. Experience preparing proposals, quotations, or customer contracts is helpful but not required. Education A degree in Accounting, Finance, Business Administration, or a related field is preferred but not required . For this position, relevant experience is at least as important as formal education. An experienced bookkeeper, business administrator, or office manager with a strong track record may be an excellent fit. Schedule & Location This is initially a 20-25 hour-per-week position based in Vancouver, Washington . We have flexibility in establishing the regular work schedule for the right person. Regular in-person work in Vancouver will be expected, particularly while learning our business and systems. Some flexibility may be possible once the person is established in the position.
