About the role Northwest Partitions is looking for an organized, dependable Office Administrator to support our estimating team and keep our corporate office running smoothly. You'll be the first person visitors meet and callers hear—a welcoming, professional presence for customers, vendors, job candidates, and employees. Behind the scenes, you'll organize bid documents, coordinate new hire onboarding, maintain records, and help our accounting and project teams stay on track. This position primarily supports estimating, office operations, and accounting, with additional project coordination support as workloads require. It's a good fit for someone who enjoys variety, takes initiative, and follows through on details while balancing deadlines and everyday interruptions. What you'll do Support estimating and bidding Maintain bid information, assignments, and status in NextWin. Monitor the bidding inbox, organize updated documents, and communicate changes to estimators. Download plans, specifications, and addenda from project portals and maintain organized bid folders. Help prepare bid forms, attachments, and submission packages. Respond to bid-intent requests using confirmed information from the estimating team. Welcome visitors and keep the office running Greet visitors, answer and route calls, and handle incoming mail, deliveries, and outgoing shipments. Order approved office supplies, refreshments, and company merchandise; maintain apparel and hard hat inventory. Keep reception, meeting spaces, and common areas organized. Handle routine light kitchen and office upkeep, coordinate with the cleaning service, and complete office closing procedures. Coordinate onboarding and employee documentation Schedule new hire orientation, distribute paperwork, and review completed packets. Coordinate employment verification and E-Verify processing under company procedures. Maintain confidential employee records, assist with Tymbuh setup, and issue company apparel and designated equipment. Coordinate employee badges and schedule training such as OSHA, CPR, and First Aid. Support accounting, field teams, and project managers Collect and track daily foreman reports, safety forms, and sign-in sheets; follow up on missing records. Assist accounts payable and payroll with invoices, timecards, and supporting documentation. Track business license renewals and coordinate required paperwork. Enter material transfers in Plexxis and maintain tool and equipment records in Excel. Assist the Senior Project Coordinator and project managers with project setup, document filing, insurance certificates, submittals, drawing files, warranties, and closeout. Prepare correspondence, spreadsheets, and reports, and coordinate competing priorities with the Director of Estimating and Sales. What you bring Experience in office administration, reception, or administrative support. Commercial construction experience is preferred. Bilingual abilities are a plus to support diverse client needs and team communication. High school diploma or GED; additional education in business or office administration is a plus. Strong Microsoft Word, Excel, and Outlook skills, along with confidence working with PDFs and electronic filing systems. Ability to download and organize files, extract ZIP folders, and navigate online project portals. Willingness to learn NextWin, Tymbuh, and Plexxis; experience with these systems is helpful. Professional communication, a positive attitude, and a helpful approach to working with others. Strong organization, accuracy, and follow-through. Ability to manage interruptions, prioritize tasks, and meet deadlines. Discretion when handling confidential employee, payroll, and business information. Reliable onsite attendance and willingness to help with both administrative work and routine office upkeep. Work setting This onsite position involves regular computer use, greeting visitors, stocking supplies, handling packages, and routine light office cleaning. Duties include sitting, standing, walking, bending, reaching, and occasionally lifting or carrying office items.
