Job Description

Position Summary:
The Office Manager is responsible for owning and optimizing all administrative, HR, and office operations functions. This role ensures the business runs efficiently, remains compliant, and scales effectively with workload demands. This is a high-accountability position requiring strong leadership, organization, and follow-through. Mission The mission of the Office Manager will be to learn and review current systems, create, implement and manage needed or new administrative systems, processes and activities that will maximize our business and allow us to obtain administrative excellence through all economic cycles of the business with a target of doubling our revenue capacity over the next 5 years while optimizing profit margins and increasing the predictability and sustainability of our future stream of earnings. Duties and Responsibilities:
These are some of the duties that you will be required to perform; this is a fluid environment and at different points in time will require different activities. This is by no means an all-inclusive list. Office & Administrative Operations Oversee all day-to-day office functions and administrative systems Manage office supplies, assets, and vendor relationships Ensure facility operations, maintenance, and services run smoothly Additional duties as assigned Human Resources & Compliance Manage employee lifecycle (onboarding, records, exit interviews) Ensure compliance with employment laws, licensing, and insurance requirements Maintain accurate and audit-ready employee and company records Partner with leadership on employee relations and performance issues Develops policy and directs and coordinates human resource program, such as employment, compensation, employee relations, benefits, training and compliance Administers policies and procedures relating to all phases of human resources function, including compliance with legal issues related to employment and employee records and by maintaining knowledge of legal requirements and government reporting regulations. Advises senior management and the Executive Team on employee relations and performance improvement issues, including strategic and tactical advice in identifying, evaluating, and resolving human relations and work performance problems. Facilitate communications internally and improve employee relations skills of supervisors to support highly productive work performance across the organization. Team Leadership & Accountability Manage and develop administrative staff Set expectations, track performance, and enforce accountability Ensure tasks and responsibilities are completed to company standards Communication & Coordination Serve as the central point of communication for staff, vendors, and leadership Ensure clear, timely, and effective internal communication Coordinate across departments to ensure alignment and execution Systems & Process Improvement Build and maintain scalable systems that support business growth Identify inefficiencies and implement process improvements Maintain documentation and standard operating procedures Facilities, Information Technology, and Procurement Oversees the physical office environment including and not limited to maintenance of office equipment, purchasing supplies Establish goals, standards and strategies for the IT department
  • develop and execute periodic plans Assist CEO and COO in determining the infrastructure for communications and IT.
Oversee the purchases of agency hardware and software needs
