Job Description
Job Overview We are seeking a dynamic and highly organized Administrative Assistant to join our team! This energetic role is vital in ensuring the smooth operation of our office environment, providing exceptional support to staff and clients alike. The ideal candidate will be proactive, detail-oriented, and possess a passion for delivering outstanding customer service. In this role, you will manage a variety of administrative tasks, coordinate schedules, and serve as the first point of contact for visitors and callers. Your enthusiasm and efficiency will help foster a positive, productive workplace where everyone can thrive. Duties Greet visitors at the front desk with professionalism and warmth, creating a welcoming atmosphere Provide administrative support to the Executive Director Maintain organized records and documents Help ensure a positive and welcoming environment for staff and families Clerical experience involving document preparation, record keeping, and basic bookkeeping (QuickBooks preferred) Manage multi-line phone systems, directing calls efficiently and courteously Utilize Microsoft Office Suite (Word, Excel, PowerPoint) and Google Workspace to prepare documents, reports, and presentations Provide excellent customer support via phone, email, or in person by addressing inquiries promptly and professionally Conduct proofreading of documents to ensure accuracy and clarity before distribution Assist with office management duties such as ordering supplies, managing office equipment, and maintaining cleanliness Perform clerical tasks including copying, scanning, faxing, and organizing files with precision Support personal assistant responsibilities such as travel arrangements or special project coordination when needed Experience Previous office experience or administrative support roles demonstrating strong organizational skills Proven proficiency with computer literacy including Microsoft Office (Word, Excel) and Google Workspace applications Experience managing multi-line phone systems and front desk operations in a professional setting Bilingual abilities are highly desirable to effectively communicate with diverse clients and team members Familiarity with office management procedures such as filing systems, data entry, proofreading, and calendar management Customer service experience emphasizing phone etiquette and professional communication skills. Personal assistant or medical/dental receptionist experience is a plus but not required; we value proactive individuals eager to learn!
