Job Summary We are seeking a dynamic and detail-oriented Processing Assistant to join our team in a full-time capacity. This role is vital in ensuring smooth daily operations by managing administrative tasks, handling client and vendor communications, and maintaining accurate records. The ideal candidate will be proactive, organized, and possess excellent computer skills to support office functions efficiently. Responsibilities Manage data entry tasks with precision, ensuring all information is accurate and up-to-date in our systems. Handle front desk duties, greeting visitors professionally and directing them appropriately. Operate multi-line phone systems, answer inquiries promptly, and provide exceptional customer support. Maintain confidentiality when handling sensitive information related to clients, vendors, and internal operations. Assist with bookkeeping activities using QuickBooks or similar accounting software to support financial recordkeeping. Organize and file documents systematically to facilitate easy retrieval and compliance with record retention policies. Support office management tasks such as calendar management, scheduling appointments, and coordinating meetings. Communicate effectively with clients and team members via phone, email, or in person to ensure seamless workflow. Proofread documents for accuracy and clarity before distribution or filing. Perform general clerical duties including photocopying, faxing, and inventory management of office supplies. Skills Proficiency in Microsoft Office Suite (Word, Excel, Outlook) and strong computer literacy skills. Experience with QuickBooks or similar bookkeeping software is highly desirable. Excellent organizational skills with the ability to prioritize tasks efficiently. Strong phone etiquette and communication skills for professional client interaction. Bilingual abilities are a plus to serve diverse client needs effectively. Previous office experience demonstrating familiarity with administrative procedures and clerical work. Ability to handle confidential information discreetly and responsibly. Effective time management skills to meet deadlines consistently. Personal assistant or office management experience is advantageous for this role. Attention to detail in proofreading documents and data entry tasks.
