Job Description

Job Summary:
Better Lawns and Gardens is seeking a highly organized and detail-oriented professional to manage the estimating process for our design-build and property maintenance services. This role will also oversee accounts receivable, time tracking, and data entry while managing the outdoor living designer and front office personnel. The ideal candidate will have strong analytical skills, excellent communication, and the ability to multitask in a fast-paced environment.
Key Responsibilities:
Estimating & Financial Management:
  • Prepare accurate estimates for design-build projects and property maintenance services. Further details on this provided during interview process.
  • Review project plans and specifications to develop cost projections.
  • Maintain and update pricing databases for materials and labor.
  • Track and manage accounts receivable, ensuring timely payments.
Administrative & Office Management:
  • Supervise and support the designer and office manager.
  • Implement and oversee efficient data entry processes for job tracking, invoicing, and reporting.
  • Ensure all time tracking records are maintained accurately for payroll and job costing.
  • Develop and maintain organizational procedures to improve efficiency.
Collaboration & Communication:
  • Work closely with the sales, design, and operations teams to ensure smooth transition of information from sales team to production team.
  • Communicate with clients, vendors, and subcontractors to gather necessary project information as necessary.
  • Provide regular reports and updates to management on financials, estimates, and office operations.
Qualifications & Skills:
  • Experience in estimating, sales, finance, or administrative management (preferably in landscaping, construction, or a related field).
  • Strong knowledge of estimating software, QuickBooks, or other financial tracking systems
  • Proficiency in Microsoft Office Suite (Excel, Word, Outlook), or Apple platform which is currently used in office. Business specific software is used and will be required to be learned.
  • Excellent organizational and time management skills.
  • Strong leadership and communication abilities.
  • Ability to work independently and as part of a team.
Preferred Qualifications:
  • Experience managing office staff and overseeing multiple administrative functions.
  • Knowledge of landscaping, construction, or design-build industry best practices.
  • Familiarity with CRM or project management software.
