We are seeking a dependable, organized, and customer-focused Administrative Assistant to support the daily operations. This position will provide administrative support to customers, drivers, and office staff while assisting with billing, payments, invoicing, and general office duties.Essential Duties and Responsibilities:
Answer incoming phone calls and assist customers with questions, concerns, and account information. Take customer payments and process credit card payments through QuickBooks. Accurately post customer payments to accounts. Print and distribute customer invoices. Review invoices and identify delinquent accounts for follow-up. Contact customers regarding past-due balances and assist with payment arrangements as needed. Maintain accurate mileage records by entering driver mileage into Excel spreadsheets. Assist drivers with daily questions, paperwork, routes, and customer-related issues. Assist customers with billing questions, service requests, and account concerns. Maintain organized customer and billing records. Assist with general data entry, filing, scanning, copying, and other administrative tasks. Provide support to the office and management team as needed. Maintain a professional and courteous attitude when communicating with customers, drivers, and coworkers.Qualifications:
Previous administrative, customer service, billing, or office experience preferred. Strong attention to detail and accuracy is a MUST! Comfortable working with numbers, payments, and invoices. Basic to intermediate computer skills, including Microsoft Excel. Experience with QuickBooks is preferred Strong organizational and time-management skills. Excellent verbal and written communication skills. Ability to multitask and prioritize responsibilities in a busy office environment. Dependable, professional, and customer-service oriented.Ideal Candidate:
