Morris Hall, PLLC Administrative Assistant - Private Client Services We are a Premier Estate Planning Law Firm currently seeking an Administrative Assistant - Private Client Services to join our unique, family-oriented team of professionals in our Carefree, AZ office.   • We are proud members of the American Academy of Estate Planning Attorneys (AAEPA) Qualifications As a member of our Administrative Services Team, you will have a large range of responsibilities while providing direct support to one of our Partners to ensure efficient operations.
The ideal candidate will be a multi-tasker with excellent phone, written and verbal communication skills, be able to prioritize their work, have a positive presence, and an upbeat attitude. They will have great attention to detail, strong organizational skills, familiarity with Microsoft Office applications, and will complete tasks accurately, with high quality, and in a timely manner. They will be willing to meet each challenge directly and have a genuine desire to help others.
Responsibilities:
Handle sensitive information in a compassionate and confidential manner Answer incoming calls; act and/or route calls appropriately Reply to email, telephone, fax, chat, or face to face enquiries within 24 hours Assist attorneys and legal staff with administrative tasks Organize and oversee the Partner's business calendar, making sure to include recurring meetings and adequate follow up time with support staff among the various Client and Firm related appointments. Schedule various types of appointments on multiple calendars based on Client needs Edit and update CRM with prospective and current Client information and new work Prepare consultation and intake packets to support attorney efficiency and preparedness Produce and distribute correspondence memos, letters, faxes, and forms Process incoming and outgoing mail and shipments as applicable Maintain office supplies and ensure common areas are kept clean and organized Assist with travel arrangements, meeting set-up, catering, event planning, and various celebrations, as needed Greet visitors with professionalism and a smile Why work with us?
