About the Role We are looking for an Administrative Assistant who takes ownership, thinks ahead & genuinely likes being the person who keeps things organized and moving. This position supports our customers, office, operations teams & management. You will communicate with customers and vendors, assist with orders and scheduling, maintain accurate records, coordinate information across departments & provide day-to-day administrative support. This role is more than completing a list of tasks. We need someone who notices what needs attention, understands how their work affects other people, follows things through to completion & communicates before something becomes a problem. What You'll Do Answer and direct incoming phone calls & assist customers with questions Receive and process customer orders by phone, email & other approved methods Enter and maintain orders, schedules & customer information in company systems Coordinate and maintain delivery schedules Communicate with customers regarding orders, scheduling & requests Coordinate with internal departments to keep customer and operational needs moving Assist with order changes, schedule adjustments & follow up Prepare and send reports, documents, invoices & correspondence Maintain accurate and organized electronic & physical records Assist with accounting and administrative documentation Assist with purchasing & maintaining office supplies Prepare customer communications & company announcements Provide administrative support to management & other departments Help document processes and keep information organized, current & accessible Assist with special projects & changing business needs Identify problems, ask questions when needed & help find solutions What It Means to Work at ANS We have high expectations for the people who work here.
