Monday-Friday We are looking for a reliable, organized, and detail-oriented Administrative Assistant to join our construction company. This position is ideal for someone who is comfortable working with numbers, computers, customers, subcontractors, and multiple projects at the same time. The right candidate will help keep our office and construction projects organized and running smoothly. Responsibilities Prepare and write construction estimates using information provided by the project team Enter project information, pricing, labor, materials, and other details accurately Perform daily data entry and maintain organized records Schedule jobs, crews, subcontractors, inspections, and appointments Coordinate schedules and communicate updates with customers and field personnel Answer phone calls, emails, and general customer inquiries Create, update, and maintain job files Enter invoices, receipts, purchase orders, and other project information Track project details, deadlines, and scheduling changes Assist with preparing proposals, work orders, and other documents Communicate with vendors and subcontractors as needed Follow up on estimates, scheduling, and customer requests Assist management with general office and administrative duties Maintain accurate and confidential company records Qualifications Previous administrative or office experience preferred Construction office experience is a strong plus Comfortable working with numbers and entering detailed information Strong computer skills and ability to learn new software Experience with Microsoft Office, Excel, email, and scheduling systems Excellent organizational and time-management skills Strong written and verbal communication skills Ability to prioritize multiple tasks and meet deadlines Strong attention to detail and accuracy Professional and friendly attitude Dependable, punctual, and able to work independently Ideal Candidate We are looking for someone who is organized, dependable, and takes initiative . You should be comfortable handling several projects at once and able to communicate effectively with customers, employees, subcontractors, and management. Construction experience is not required if you have strong administrative skills and are willing to learn. However, someone with experience in construction estimating, project coordination, or a construction office will be highly valued.
