Compensation:
$20.00-$25.00 per hour Position Summary We are seeking a reliable, professional, and highly organized Administrative Coverage Specialist to provide on-call office support when our regularly scheduled Office Administrator is unavailable due to scheduled time off, illness, appointments, training, or other absences. This position is ideal for someone seeking flexible, supplemental work who can periodically provide daytime office coverage during the week. The Administrative Coverage Specialist will help maintain continuity of daily office operations and serve as the in-office point of contact during assigned coverage periods. Responsibilities include greeting visitors, handling routine communications, receiving mail and documents, maintaining the professional office environment, and completing basic administrative and clerical assignments. Because this is an on-call position, weekly hours are not guaranteed and will vary based on office coverage needs. Whenever possible, advance notice will be provided for scheduled coverage. Occasional short-notice availability is highly valued. Key Responsibilities Provide in-office administrative coverage during assigned shifts. Serve as the primary in-office point of contact while providing coverage. Greet visitors professionally and provide appropriate assistance. Answer and route telephone calls and assist with routine email or correspondence needs. Receive, organize, and appropriately route incoming mail, packages, documents, and deliveries. Perform basic administrative duties, including scanning, filing, copying, and document organization. Maintain an organized, professional, and welcoming office environment. Assist with scheduling and other administrative activities as assigned. Monitor office supplies and communicate replenishment needs. Coordinate with agency leadership and staff regarding administrative matters requiring attention. Follow established office opening, closing, visitor, communication, and documentation procedures. Protect confidential and sensitive information and follow applicable organizational privacy and confidentiality requirements. Provide additional general administrative support during assigned coverage periods. Schedule & Availability This is an on-call/as-needed position rather than a regularly scheduled part-time position. The primary office coverage window is generally: Monday-Friday 10:00 AM-5:00 PM The selected individual may be contacted to provide coverage for planned absences, vacations, appointments, training days, unexpected call-outs, or other situations requiring office coverage. Some assignments may be scheduled several days or weeks in advance, while occasional short-notice coverage may be requested. Minimum Qualifications High school diploma or equivalent. Previous experience in office administration, reception, customer service, clerical support, or a similar professional environment preferred. Strong reliability and punctuality. Professional verbal and written communication skills. Basic proficiency with Microsoft Office and/or Google Workspace. Ability to follow written procedures and instructions independently. Strong organizational skills and attention to detail. Reliable transportation to the Gilbert office. Ability to maintain professionalism when interacting with visitors, staff, vendors, and other individuals. Ability to appropriately handle confidential and sensitive information. Ability to periodically accept weekday daytime assignments. Preferred Qualifications Previous administrative experience in healthcare, behavioral health, human services, or another compliance-sensitive environment. Familiarity with HIPAA, confidentiality requirements, healthcare documentation, or state-regulated organizations. Experience with electronic records or document-management systems. Spanish-speaking or multilingual capabilities. Notary certification or willingness to obtain certification.
