This is a Full-Time position based at our main office, emphasizing that this role is not eligible for remote working. The chosen candidate will play a crucial role in supporting our orthodontic department, ensuring smooth operations and exceptional support to both our staff and patients. As an integral part of our team, the successful applicant will be responsible for providing comprehensive administrative assistance, facilitating effective communication between patients and medical staff, and managing patient records with utmost confidentiality and accuracy. This role requires a proactive approach, excellent organizational skills, and a strong commitment to maintaining the high standards of care that WVPD Partnership is known for. Duties and Responsibilities Coordinate and schedule patient appointments to optimize the orthodontist's calendar and enhance patient satisfaction. Manage patient records by updating and maintaining accurate and confidential information in the electronic health record (EHR) system. Facilitate effective communication by acting as a liaison between the orthodontists, dental staff, and patients. Prepare and manage the processing of insurance claims, ensuring compliance with policy regulations and prompt billing transactions. Assist in the development of office policies and protocols to improve efficiency and provide support in their implementation. Maintain stock of office supplies and orthodontic materials, ensuring availability and managing inventory according to the budget guidelines. Handle patient inquiries, provide necessary information regarding treatments, and address any concerns with empathy and professionalism. Contribute to team efforts by accomplishing related tasks as needed, ensuring operational goals are met and exceeded. Ensure adherence to health and safety protocols, maintaining a clean and organized work environment. Participate in ongoing training and professional development opportunities to stay updated with the latest practices in orthodontic administrative support. Requirements Proven experience as an administrative assistant or secretary, preferably in an orthodontic or dental practice. High school diploma or equivalent; further certification in Office Management or a related field is highly desirable. In-depth understanding of healthcare procedures and terminology related to orthodontics. Advanced proficiency in using medical office software (e.g., EHR software). Exceptional organizational and time-management skills. Outstanding communication and interpersonal abilities. Meticulous attention to detail with the ability to multitask effectively. Demonstrated ability to handle confidential information discretionarily and responsibly. Strong problem-solving skills and the ability to operate under pressure. Availability to work full-time hours, including some weekends and evenings, as required to support office operations.
