Administrative Assistant (Reception, Executive and Office Support) Haga Kommer | Scottsdale, Arizona | Full-time | On-site Pay range: $25.21-$32.36 per hour, based on experience and qualifications Help Keep Our Office and Leadership Organized At Haga Kommer, exceptional service begins with a welcoming experience and dependable support. We are looking for an experienced Administrative Assistant who can support our CEO and senior leadership while serving as a central resource for employees, clients, visitors, and business partners. This hands-on role combines regular front desk coverage with executive scheduling, travel coordination, document preparation, and daily office administration. You will balance incoming requests with planned work, protect confidential information, and keep important details and follow-up on track.
WHAT YOU WILL DO
Manage calendars, appointments, and meeting arrangements for the CEO and senior leadership; resolve scheduling conflicts and communicate changes promptly. Coordinate business travel, including flights, hotels, transportation, reservations, and itineraries; verify traveler information, dates, and other details before booking. Welcome clients and visitors, answer and route calls, take accurate messages, and respond professionally to inquiries while providing regular reception coverage. Prepare and proofread correspondence, documents, reports, presentations, and meeting materials for accuracy and completeness. Maintain confidential electronic and paper records; handle filing, scanning, data entry, and document distribution. Coordinate meetings and office events, including rooms, materials, refreshments, vendor arrangements, and follow-up. Manage office supplies, incoming and outgoing mail, packages, couriers, and routine office service needs. Assist with billing, accounts receivable, and other basic accounting or administrative tasks as assigned. Track requests, deadlines, and outstanding items; anticipate needs, communicate progress, and recognize when an issue requires leadership input.
WHAT SUCCESSS LOOK LIKE
Leaders can rely on accurate calendars, travel arrangements, and timely follow-up. Clients and visitors receive a professional welcome, employees receive responsive support, and documents and office details are handled correctly. You take ownership of your work and use good judgment to prioritize, solve routine problems, and escalate when needed.
WHAT ARE WE LOOKING FOR
At least three years of administrative, executive assistant, office administration, or similar professional experience that includes reception desk coverage. Direct experience supporting an executive, senior leader, or leadership team strongly preferred. Experience managing calendars, appointments, and meetings, and coordinating business travel, itineraries, reservations, and related logistics. Strong organization, attention to detail, reliability, and consistent follow-through when managing multiple priorities and changing needs. Professional, welcoming communication in person, by phone, and in writing; experience preparing and proofreading business materials. Discretion with confidential information, sound judgment, and the ability to work independently while recognizing when to ask for guidance. Proficiency with Microsoft Word, Excel, Outlook, and PowerPoint, plus comfort learning new systems and troubleshooting basic software issues. Experience coordinating meetings, events, vendors, or office logistics. Experience in accounting, financial services, banking, wealth management, legal, insurance, consulting, or another professional services environment preferred. QuickBooks or basic billing and accounts receivable experience is a plus.
