This position is designed for a recent graduate with an associate or bachelor's degree in healthcare administration, health services management, or a related field. Prior healthcare experience is welcome but is not required. The ideal candidate is detail oriented, comfortable managing multiple priorities, and interested in developing a long-term career in healthcare operations. The position provides exposure to several areas of medical practice administration. Responsibilities and opportunities for advancement may expand over time based on performance, capabilities, and the needs of the practice. Responsibilities Coordinate provider schedules, facility visit calendars, patient requests, and daily staffing needs. Communicate professionally with patients, families, facility staff, healthcare providers, and outside organizations. Answer, document, route, and follow up on phone calls, messages, and administrative requests. Enter and update information accurately in the electronic health record and other practice systems. Maintain organized patient rosters, schedules, reports, logs, correspondence, and internal trackers. Monitor open administrative tasks and help ensure they are completed or directed to the appropriate team member. Assist with obtaining medical records, hospital documents, laboratory reports, and other information needed for patient care. Support insurance verification, prior authorization, billing, and documentation workflows as assigned. Assist with employee scheduling, attendance records, timekeeping, leave tracking, and coverage coordination. Support employee onboarding and maintain required personnel and administrative records. Monitor office and clinical supply needs and coordinate routine orders. Maintain calendars and records related to licenses, renewals, deadlines, and other practice requirements. Prepare operational reports and summaries for practice leadership. Help document workflows and identify practical ways to improve efficiency, communication, and accountability. Assist with the implementation and testing of scheduling, communication, and practice operations tools. Handle patient, employee, and business information with professionalism and confidentiality. Provide additional administrative and operational support as practice needs evolve. Required Qualifications Associate or bachelor's degree in healthcare administration, health services management, or a closely related field. Recent graduates are encouraged to apply. Strong organizational skills and close attention to detail. Excellent written and verbal communication skills. Strong follow-through and the ability to keep track of multiple open tasks. Proficiency with Microsoft Word, Excel, Outlook, email, calendars, and basic office technology. Ability to learn electronic health records and other practice systems. Ability to prioritize responsibilities and respond appropriately when needs change. Professional judgment and the ability to maintain confidentiality.
