Compensation:

The Role The Administrative Assistant will work closely with Wealth Advisors and associates to support day-to-day client service, meeting preparation, administrative coordination, and firm operations. You'll be an important point of connection between clients, advisors, custodians, and the internal team—helping ensure that details are handled accurately, deadlines are met, and clients feel well cared for. What You'll Do Client Service & Advisor Support Prepare client meeting agendas, reports, presentations, and supporting documentation. Assist with paperwork and documentation related to investment accounts, insurance contracts, transfers, new accounts, and account changes. Coordinate client meetings, calendar invitations, Zoom links, reminders, and follow-up communications. Prepare meeting materials and performance reports for advisor reviews. Track outstanding client items and ensure timely follow-up. Provide professional, responsive, and warm communication to clients. Assist advisors with post-meeting action items and ongoing client requests. Administrative & Office Support Maintain accurate and organized electronic client and firm files. Maintain spreadsheets, logs, and administrative records. Assist with office supplies, mail, vendors, and general office coordination. Help keep day-to-day firm operations organized and running efficiently. Provide administrative support to the advisor and associate team as needed. Marketing & Events Assist with client newsletters, mailings, and other client communications. Support the planning and execution of client appreciation events, educational workshops, and webinars. Help ensure client-facing materials are polished, professional, and consistent with the firm's standards. What We're Looking For The right person will be highly organized, dependable, detail-oriented, and comfortable working in a fast-paced professional environment. We're looking for someone who: Has 2-5 years of administrative, client service, or professional office experience. Has an Associate's Degree in Business Administration or a related field; Bachelor's degree preferred. Is highly proficient with Microsoft Office, including Word, Excel, PowerPoint, and Outlook. Has exceptional attention to detail and a high degree of accuracy. Communicates clearly and professionally, both verbally and in writing. Can confidently manage multiple priorities and competing deadlines. Takes initiative and follows through without needing constant direction. Understands the importance of discretion and confidentiality when working with sensitive client information. Enjoys supporting a team and takes pride in delivering an exceptional client experience.
