Hope Gateway Residence LLC is seeking a compassionate, dependable, and highly organized Home and Community-Based Services (HCBS) Assistant to join our team. The HCBS Assistant will provide administrative and operational support to the HCBS Coordinator in coordinating services for individuals with intellectual and developmental disabilities receiving services through Arizona's Division of Developmental Disabilities (DDD). The ideal candidate should have a genuine heart for serving people with developmental disabilities , excellent organizational skills, attention to detail, and the ability to communicate professionally with members, families, caregivers, and staff. Key Responsibilities The HCBS Assistant will assist with: Daily coordination of HCBS services and caregiver schedules. Scheduling Direct Support Professionals (DSPs)/caregivers based on member needs and authorized services. Monitoring employee attendance and scheduled assignments. Reviewing timesheets and service documentation for completeness and forwarding discrepancies to the HCBS Coordinator. Organizing member files, employee records, PCSPs, service authorizations, and other required documentation. Monitoring expiration dates for employee credentials, certifications, and required training. Assisting with new-member intake and employee assignments. Communicating professionally with members and families regarding scheduling and service-related matters. Assisting with caregiver orientation and administrative onboarding. Following up with employees regarding required documentation and outstanding paperwork. Assisting with preparation of records for internal reviews, DDD reviews, and audits. Maintaining accurate and confidential member and employee information. Reporting service, staffing, documentation, or member-safety concerns promptly to the HCBS Coordinator or management. Performing general office and administrative duties necessary to support HCBS operations. Required Qualifications High school diploma or GED required. Previous office, administrative, caregiving, healthcare, social services, or human services experience preferred. Strong organizational and time-management skills. Excellent attention to detail and recordkeeping abilities. Good written and verbal communication skills. Ability to communicate professionally with employees, members, families, and outside professionals. Basic computer skills, including email, electronic records, and Microsoft Office or similar applications. Ability to maintain confidentiality and handle sensitive information appropriately. Valid driver's license and reliable transportation when travel is required. Ability to meet applicable background and fingerprint-clearance requirements. Preferred Qualifications Preference will be given to candidates who have: Previous experience working with individuals with intellectual and developmental disabilities, including autism and Down syndrome . Experience with Arizona DDD or Home and Community-Based Services . Experience working for a home care agency, group home, behavioral health organization, or developmental disability service provider. Experience with caregiver/DSP scheduling. Familiarity with PCSPs and service authorizations. Knowledge of DDD-related caregiver training and documentation requirements.
