Job Description
We are looking for a dependable Administrative Assistant to support daily office activities and help maintain an efficient workplace. This contract-to-permanent position is ideal for someone who enjoys balancing front-office interaction, administrative coordination, and operational support in a fast-paced environment. The right candidate will bring strong organizational skills, sound judgment, and a detail-oriented approach to communication, recordkeeping, and cross-functional support.
Responsibilities:
- Manage daily office operations by helping keep workspaces organized, functional, and ready to support employee productivity.
- Coordinate service requests and routine upkeep for office equipment, facilities, and basic workplace technology needs.
- Monitor inventory levels for office and kitchen supplies, submit purchase orders within budget guidelines, and follow through on deliveries.
- Welcome visitors, answer inbound calls, and help ensure a courteous and responsive front-desk experience.
- Process incoming mail, prepare outgoing correspondence, and coordinate package shipments and receipts with external carriers.
- Assist with scheduling meetings, maintaining calendars, and organizing internal activities, travel logistics, and team events.
- Maintain accurate physical and electronic files while preparing routine reports, letters, memos, and other administrative documents.
- Support onboarding setup by organizing work areas, materials, and required paperwork for onboarding activities.
- Provide administrative assistance for finance and human resources tasks, including data entry, expense tracking, invoice support, and confidential record handling.
