About the Role DHR Golf is looking for a highly organized, bilingual Administrative Assistant to be the anchor of our American Canyon front office. You'll keep the office running, support our HR and field teams, and be the daily bridge between our office and our Spanish-speaking shop and field crews. You'll take ownership of a lot of moving pieces and keep them running smoothly. Much of this role is about learning how we do things — we have established processes and preferences — and executing them reliably and consistently. There's room to grow, too: as you master the role, there are opportunities to take on more responsibility over time. Day to day, you'll be the person who closes the loop on every open item — greeting visitors, handling mail and paperwork, supporting field staff in Spanish, coordinating travel and events, and keeping the office and our facilities in good order. Responsibilities Front Office & Facilities Manage front-desk reception: greet visitors, answer and route calls, and keep a professional, welcoming environment Receive, scan, process, and route mail and deliveries daily Maintain office supply inventory; coordinate preventative maintenance for office equipment Maintain and update office security systems: door/gate/alarm codes, remotes, and cameras across company properties Help keep company properties and facilities maintained and in good order, including kitchen and common areas HR & Bilingual Field Support Support field and shop staff in

answer questions and assist with paperwork and communication Provide HR administrative support: employee documentation questions, benefits enrollment, and timecard oversight Accurately translate written and verbal communication Update new-hire packets and manage in-person onboarding for new hires Help track completion of compliance and safety trainings Records, Paperwork & Accounts Receivable Support Process and distribute incoming paperwork Follow up with field and shop staff for timely, accurate expense documentation Assist with accounts receivable: monthly statements, recording change orders, and deposits Employee Travel & Visa Support Assist with employee travel as needed Support foreign travel and visa documentation as needed Marketing, Social Media & Events Post to social media and keep the website current Manage sponsorships, donations, branded/swag items, and client/employee gifting Plan and coordinate company events (holiday party, team building, employee appreciation) and support annual golf conference participation Qualifications Required Fluent in Spanish and English, written and verbal — you'll coordinate daily with shop and field crews, many of whom only speak Spanish Highly organized, able to juggle competing priorities and follow through until every item is closed Adaptable and comfortable with shifting priorities and evolving processes Takes ownership and initiative — notices what needs doing and handles it, even when no one is checking Clear written and verbal communication; keeps people in the loop and flags issues early Tech-savvy and a solid typist; comfortable with spreadsheets and task-management software Familiar with the Microsoft Office Suite (Outlook, Word, Excel) Valid California driver's license and reliable transportation Preferred Bilingual customer-service or field-support experience Interest in construction, ag, trades, or other field or project-based business
Pay:
$22.00 - $25.00 per hour Expected hours: 40.0 per week
