Job Overview We are seeking a dynamic and highly organized Operations Administrator to join our team! In this vital role, you will be the backbone of our daily operations, ensuring seamless office management, efficient communication, and accurate record-keeping. Your proactive approach and exceptional organizational skills will help create a productive environment where our team can thrive. Responsibilities Manage front desk operations, greeting visitors and directing inquiries with professionalism and warmth Operate multi-line phone systems, handle incoming calls, and route messages efficiently Maintain accurate records through data entry, filing, and proofreading of documents Oversee office supplies inventory and coordinate procurement to ensure smooth daily functioning Support bookkeeping activities using QuickBooks, including invoicing and expense tracking Assist with calendar management, scheduling meetings, and coordinating appointments for staff and executives Provide exceptional customer support via phone, email, and in person, ensuring positive interactions at all times Qualifications Proven office administrative experience in a fast-paced environment Strong computer literacy with proficiency in Microsoft Office Suite (Word, Excel, Outlook) and Google Workspace tools Experience with QuickBooks or similar bookkeeping software is highly desirable Excellent organizational skills with keen attention to detail and accuracy Bilingual abilities are a plus to support diverse client interactions English/Spanish Exceptional phone etiquette and customer service skills with the ability to handle multi-line phone systems effectively Demonstrated time management skills with the ability to prioritize tasks efficiently Clerical experience including filing, data entry, proofreading, and calendar management Join us as an Operations Administrator and become a key contributor to our success!
