Non-Exempt / Hourly Summary Provides support with the daily activities of a medical office, including routes of chart documents, telephone coverage, appointment scheduling, registration, patient portal management, and patient referrals by performing the following duties. Essential Duties and Responsibilities Other duties may be assigned. Patient Care Duties Ensures the waiting room is presentable for patients Inform MD via text as patients arrive in the morning Greetings and directs patients, representatives, and visitors Answers multi-line phones, takes messages, and transfers calls Is knowledgeable and able to perform back-office duties when needed (training if needed) Follows a detailed timeline of duties Checks in patients by verifying demographics, confirming insurance is current and benefits are verified, and entering all pertinent information into the electronic chart Works closely with the billing department to ensure all insurance has been verified and prior payment worksheets (PPW) have been generated Works hand in hand with billing to ensure all payments are up to date for accurate fee collection Registering patients by verifying records is accurate and up to date and makes appropriate changes in the computer system and patient chart Registers patient portal login information via email Verifies Medicare patients' PMD and checks PECOS eligibility (e.g., adding NPI to database) Ensures smooth patient flow by tracking arrivals and departures Calls patients who are 10 minutes late to determine status and reschedule if needed Handles daily patient requests including scheduling, refill requests to back office, authorizations for ultrasound and PET, and letter drafting Enter all insurance information into patient appointments and PMD information into ultrasound and PET appointment notes Confirms appointments for blood draws, clinical visits, ultrasounds, and PET scans each morning so add-on patients may be accommodated (to be completed before lunch) Schedules complex procedures including but not limited to:
CATH, CTA, PET, SPECT, CCS
with outside institutions Ensures patient charts are updated with the most recent medical records prior to appointments, including labs and test results Provides insurance verification and explanation of patient financial responsibility Collects payments from patients and reconciles daily cash reports Additional Duties Prepares all
