ADMINISTRATIVE MEDICAL ASSISTANT MANAGER

WHAT YOU'LL DO
Lead and Support the Team Provide day-to-day leadership, coaching, and encouragement to Medical Assistants, Assistant Clinic Managers, and other clinic staff Help employees develop their skills and grow in their roles Conduct team huddles, staff meetings, one-on-one conversations, and performance discussions Promote teamwork, professionalism, accountability, and a positive work environment Support employee attendance, training, performance, and workplace-injury processes Keep the Clinic Moving Oversee daily clinic operations and help maintain efficient patient flow Respond quickly and calmly to changing patient volume, staffing needs, and operational challenges Coordinate with providers and staff to resolve issues and maintain continuity of care Monitor important communications, laboratory results, and patient follow-up needs Create an organized, welcoming, and well-functioning environment for patients and employees Coordinate Scheduling and Staffing Develop and maintain staff and provider schedules approximately 45 days in advance Arrange coverage for call-outs, vacations, and unexpected staffing needs Review time-off requests while maintaining appropriate clinic coverage Monitor overtime, labor expenses, and staffing efficiency Work with When I Work and Paylocity and assist with biweekly payroll processing Welcome and Train New Team Members Coordinate onboarding for new employees and providers Create practical training schedules and conduct facility tours Help arrange background checks, documentation, and authorized system access Mentor and train Medical Assistants and developing clinic leaders Maintain training materials, workflow guides, and required employee training Partner with Our Providers Support providers with referrals, scheduling, clinic workflows, and operational needs Assist with provider onboarding and orientation Identify and remove barriers that may affect provider productivity or patient flow Help develop efficient, consistent clinical processes Champion Quality, Safety, and Compliance Help maintain compliance with applicable healthcare, workplace-safety, and privacy requirements Track licenses, registrations, certifications, screenings, and required training Support HIPAA, OSHA, CLIA, radiology, vaccine, laboratory, and infection-control compliance Coordinate equipment calibration, inspections, documentation, chart audits, and process improvements Review patient feedback and lead regular safety and injury-prevention conversations Manage Supplies and the Clinic Environment Monitor medical and office supplies and place authorized orders Help maintain equipment, medication, vaccine, and refrigerator-storage standards Submit maintenance requests, coordinate repair estimates, and keep the clinic clean, safe, and ready Help the Practice Grow Build positive relationships with local schools, employers, healthcare organizations, and community partners Support outreach efforts that increase awareness of our services Identify practical ways to improve clinic efficiency, service, and financial performance Assist with invoices, billing partners, administrative expenses, and other operational needs

WHAT WILL HELP YOU SUCCEED
Experience in healthcare, clinic operations, medical assisting, administration, supervision, or a related field A genuine interest in growing into a clinic-leadership position Strong communication, organization, and time-management skills The ability to balance multiple priorities in a fast-paced environment Confidence making decisions and solving problems A supportive, team-oriented leadership style Strong attention to detail and follow-through Comfort working with providers, employees, patients, vendors, and community partners Familiarity with electronic health records and clinical documentation A commitment to patient safety, quality, integrity, and continuous improvement Don't check every box? PREFERRED, BUT NOT REQUIRED
Medical Assistant or other healthcare-related certification Experience in urgent care, primary care, emergency medicine, or an outpatient setting Previous supervisory or clinic-management experience Experience with eClinicalWorks, Paylocity, or workforce-scheduling systems Familiarity with California healthcare requirements Knowledge of OSHA, HIPAA, CLIA, vaccine compliance, or workplace-safety programs Spanish-language skills or other bilingual abilities
