$19 - $22 per hour Performance bonus Position Summary The Administrative Assistant plays an important role in supporting daily operations across multiple departments. This position focuses on administrative, order, shipping, and operational support, and requires someone who is highly organized, dependable, and able to manage multiple priorities in a fast-paced environment. The ideal candidate is a strong communicator who enjoys problem-solving, following up on tasks, and working with internal teams, vendors, and logistics partners. Key Responsibilities Order & Shipping Coordination Process and manage online orders through Shopify and TikTok Shop Create shipping labels using ShipStation and FedEx Coordinate LTL shipments and freight bookings Track shipments and resolve shipping-related issues Process shipping claims when necessary Operations Support Coordinate container deliveries and warehouse communication Support inventory tracking and operational records Communicate with freight carriers, vendors, and logistics partners Assist with office supply purchasing and administrative tasks Handle incoming and outgoing mail Administrative Support Maintain accurate records and documentation Organize files and operational reports Coordinate with different departments to ensure tasks are completed Follow up on assigned projects and deadlines Support management with various administrative projects Perform other administrative duties as assigned Qualifications Required Excellent verbal and written English communication skills Strong organizational and time management skills Ability to prioritize multiple tasks and meet deadlines High attention to detail Strong problem-solving skills Self-motivated with a proactive attitude Reliable, professional, and team-oriented Proficient in Microsoft Office (Excel, Outlook, Word) Preferred Experience with any of the following is a plus: Shopify ShipStation FedEx Ship Manager QuickBooks Inventory management Logistics or warehouse coordination E-commerce operations AI tools such as ChatGPT or Microsoft Copilot What We're Looking For The ideal candidate is someone who: Takes ownership of their work Communicates professionally with both internal teams and external partners Follows through until tasks are completed Learns quickly and adapts to changing priorities Enjoys improving processes and staying organized Works well independently while also collaborating with a team Work Schedule Regular business hours are Monday through Friday 8:30 AM-5:30 PM, or as assigned. Occasional overtime, evenings, or weekends may be required based on business needs. Work Environment This position is primarily performed in an office environment and requires close daily interaction with the President and employees across multiple departments.
