Job Description

We are looking for a part time Administrative Assistant to work directly under the supervision of the Preschool Site Director to ensure the office runs efficiently and in accordance with County Licensing requirements. The position includes filing and organization, as well as operating school software for attendance, communications, and reports. Additionally, a friendly, welcoming demeanor and utter professionalism are required for working in the office to assist parents, teachers, and children. Administrative Assistant (50%) The successful candidate will:
  • be dedicated to supporting and welcoming all parties as they come in the door
  • hold a bachelor's degree
  • have experience working in an office setting
  • have experience working with or around children or in hospitality
  • be flexible, willing to adapt to needs as they arise
Hours:
Monday-Friday (20 hours per week) times TBD. If the candidate is interested, an additional daily shift is available between 3:30-6:00pm at the elementary campus daily for after-school care.
PURPOSE STATEMENT
Under supervision of the PreSchool Site Director, ensures that the office is operating efficiently and in accordance with County Licensing requirements in accordance with the goals and philosophy of Hilldale School.

This is a part-time position
ESSENTIAL DUTIES AND RESPONSIBILITIES
The following duties and responsibilities are not listed by importance or priority. Other duties may be assigned as desired by the management.
  • Support Site Director, including: o Completing support requests o Answering telephones and providing information to callers o Ensuring that all required documentation is up to date
Support Campus Safety:
o Maintaining and updating sign-in/out sheets o Fulfilling role(s) requested during an emergency situation
  • Oversee Daily Attendance, including: o Maintaining and updating sign-in/out sheets o Updating attendance on the Student Information System o Contacting parents if students are absent without notification o Alerting teachers to student absences o Tracking late arrivals, doctor's appointments, etc.
to alert teachers o Ensuring that teachers have taken attendance in a timely manner; updating the online attendance system with tardies as they occur o Coordinating attendance & timeliness records.
  • Support Student Health, including: o Ensuring that health supplies are in stock o Supporting children when sick or injured o Informing parents of injuries or illnesses o Responding to student needs as they come up during the day
  • Respond to teacher needs as requested EDUCATION and/or
EXPERIENCE
Bachelor's Degree with experience in educational or hospitality setting.
LANGUAGE SKILLS
Strong reading, writing, speaking, and typing skills in English. Ability to effectively and accurately write routine reports and correspondence. Must be able to communicate praise and acceptance to children.
REASONING SKILLS
Ability to apply common sense understanding to carry out instructions furnished in written, oral, or diagram form. Ability to deal with problems involving several concrete variables. Ability to multi-task and problem-solve.
PERSONAL SKILLS
Ability to work with people, including teachers, parents, and management. Ability to establish and maintain positive and harmonious working relationships with those contacted in the performance of duties. Ability to communicate effectively with parents. Ability to handle a crisis with evidence of maturity and good judgment.
PHYSICAL DEMANDS
While performing the duties of this job, the employee is required to reach with hands and arms a child 20-30 feet away within 30 seconds without danger to the staff person's health. The employee frequently is required to type for several hours a day and sit for extended periods of time at a desk. The employee must regularly lift and/or move up to 10 pounds and occasionally lift and/or move up to 30 pounds. Specific vision abilities required by this job include close vision, color vision, and peripheral vision. Employee must be able to speak clearly and hear with clarity an adult or child 10-20 feet away. I have read and understand the requirements of this position. WORK ENVIRONMENT/PHYSICAL REQUIREMENTS
Primarily an office/classroom position. May require significant degree of intermittent walking, bending, stooping, reaching, and stretching. May require lifting of up to 20 lbs.
