Job Overview Join our dynamic healthcare team as a Front Office Medical Assistant, where you'll be the welcoming face and organizational hub of our medical practice. In this energetic role, you will manage patient interactions, coordinate appointments, and ensure seamless administrative operations. Your proactive approach will help create a positive experience for patients while supporting clinical staff with essential documentation and communication. Responsibilities Greet patients warmly and provide exceptional front desk customer service, ensuring a positive first impression. Schedule patient appointments efficiently using EMR (Electronic Medical Records) systems such as Epic, Meditech, or Athenahealth. Verify patient insurance coverage, process medical collections, and handle billing inquiries in accordance with HIPAA and health information management policies. Manage electronic health records (EHR systems), review documentation for accuracy, and ensure compliance with clinical confidentiality policies. Answer multi-line phone systems with professionalism, demonstrating excellent phone etiquette and communication skills. Assist with medical coding tasks including CPT (Current Procedural Terminology), ICD-9/10 (International Classification of Diseases), and ICD coding to support accurate billing and care plans. Maintain organized medical records, file documents securely, and perform data entry tasks such as 10-key typing with precision. Support clinical staff by coordinating patient flow, preparing examination rooms, and managing appointment reminders. Handle health insurance inquiries related to Medicare and other providers while maintaining a thorough understanding of health insurance knowledge. Perform clerical duties such as faxing, scanning documents, and managing office supplies to ensure smooth clinic operations. Requirements Proven experience in a medical office setting or healthcare environment with strong clinic experience. Proficiency in EMR/EHR systems such as Epic, Meditech, Athenahealth, eClinicalWorks or similar platforms. Knowledge of medical billing processes including medical collection procedures and medical coding (CPT, ICD-9/10). Familiarity with HIPAA regulations and clinical confidentiality policies to protect patient information. Excellent computer skills including Microsoft Office Suite (Word, Excel) for documentation review and administrative tasks. Strong customer service skills with the ability to communicate effectively via phone and in person; bilingual abilities are a plus. Ability to handle multiple priorities efficiently in a fast-paced environment while maintaining attention to detail. Previous office experience in a healthcare setting or dental clinic is highly desirable. Knowledge of health insurance processes related to Medicare and other payers is preferred. Demonstrated organizational skills including filing, data entry (10 key typing), and medical records management.
