Summary:
The Administration Manager provides high-level administrative support to the Executive Team, Board of Directors, committees, and membership department. This position coordinates Board governance and meetings, manages executive communications and records, administers membership admissions and onboarding processes, and serves as a key liaison among Club leadership, Board members, member and prospective members.
ESSENTIAL DUTIES AND RESPONSIBILITIES
Club Administration Provide high-level administrative support to the Executive Team and Board of Directors, including calendar management, scheduling, correspondence, reports, presentations, travel arrangements, and confidential records. Coordinate Board, committee and management meetings, including scheduling, notices, agendas, meeting materials, attendance, minutes, and follow-up communications. Maintain official Board governance records, policies, bylaws, resolutions, committee rosters, meeting minutes, and related documentation. Serve as a professional and confidential liaison among the General Manager, Board of Directors, committees, Club leadership, employees, members, and guests. Attend meetings as required to support Club operations and administrative objectives. Manage multiple administrative projects and timelines, ensuring milestones and deadlines are met. Serve as the Club's administrative liaison with its insurance broker regarding property, liability, casualty, claims, and related insurance matters; coordinate responses and maintain appropriate records. Support neighbor relations by responding to inquiries, coordinating communications regarding Club activities, and fostering positive community relationships. Manage and coordinate property encroachment matters, ensuring appropriate documentation, stakeholder engagement, and timely resolution. Help coordinate logistics for major club events, including USGA and
PGA TOUR
golf tournaments. Membership Administration Assist with coordinating the membership admissions process, maintaining an accurate applicant pipeline and tracking candidates through established milestones, requirements, and deadlines. Assist with the administration and coordination of all aspects of membership admission procedures to support a seamless applicant experience. Work closely with the Director of Membership to continuously evaluate, refine, and improve the admissions process. Monitor and analyze membership activity, prepare reports on prospective member engagement, applicant status, acquisition trends, and related membership metrics. Assist with new Member onboarding and orientation, including scheduling, preparation and distribution of materials, record updates, and timely follow-up communications. Coordinate and schedule new member follow-up calls at the 60-day and 90-day milestones. Assist with membership resignations and category transitions, ensuring accurate records, appropriate approvals, and timely internal and external communications. Provide comprehensive administrative support to the Membership and Admissions Committees, including meeting coordination, agenda and material preparation, minute-taking, follow-up activities, and maintenance of committee records. Maintain and manage electronic and physical filing systems to ensure accurate recordkeeping and efficient document retrieval. Ensure consistent front desk coverage by providing backup support during breaks, vacations, staff absences, and as requested. Ensure work environment is safe and Codes of Safe Practices are adhered to consistently. Report injuries timely. Report to work regularly and on time, follow directions, take criticism, get along with co-workers and supervisors, treat co-workers, supervisors and members/guests with respect and courtesy, and refrain from abusive, insubordinate and/or violent behavior. What we will need from you: Advanced proficiency in Microsoft Office Suite, including Word, Excel and Outlook with the ability to operate standard office technology and equipment. Thorough knowledge of administrative and clerical procedures, including records management, document preparation, data organization, form development, and general office practices. Excellent command of the English language, including grammar, spelling, punctuation, proofreading, and professional business writing. Demonstrated ability to exercise sound judgment, discretion, and confidentiality when handling sensitive and confidential information. Strong organizational, planning, and time-management skills, with the ability to prioritize competing demands, analyze issues, and meet established deadlines. Exceptional attention to detail and commitment to accuracy in all aspects of work. Ability to interpret and apply written, verbal, and graphic instructions with sound reasoning and practical judgment. Proven ability to work independently, exercise initiative, and manage a diverse range of responsibilities with minimal supervision. Ability to manage multiple projects simultaneously while maintaining a high standard of accuracy, professionalism, and customer service. Strong verbal and written communication skills, with the ability to interact professionally and effectively with Board members, executive leadership, employees, members and guests.
