As the first point of contact for our families and visitors, the Front Office Receptionist plays an important role in creating a welcoming, professional, and caring environment. This position supports daily front office operations, parent communication, enrollment inquiries, school records, scheduling, and administrative tasks. We are looking for someone who enjoys working with families and children, communicates professionally, stays organized in a busy environment, and is comfortable handling multiple responsibilities throughout the day. FutureLand serves children from 6 weeks through 12 years old and provides a nurturing educational environment with Montessori-inspired learning and bilingual Mandarin/English experiences. Responsibilities Warmly greet parents, children, visitors, and prospective families Answer school phone calls, respond to general inquiries, and direct messages appropriately Assist families with enrollment inquiries, school tours, registration paperwork, and basic program information Communicate professionally and courteously with current and prospective families Support daily parent communication through phone, text, email, and school communication platforms Maintain accurate student records, enrollment documents, attendance information, and administrative files Assist with data entry and update information in school management systems such as Procare Support tuition and payment record organization and assist with basic administrative follow-up Help coordinate school tours, appointments, meetings, and calendars Prepare forms, letters, flyers, sign-in sheets, and other school documents Maintain an organized and welcoming front office and reception area Assist with filing, copying, scanning, recordkeeping, and general clerical duties Support school events, family activities, and special projects Communicate with teachers and school leadership regarding parent questions, attendance, scheduling, and daily needs Assist the Director and administrative team with additional office duties as needed Qualifications & Skills Friendly, professional, and welcoming personality Strong customer service and communication skills Excellent organization and attention to detail Ability to multitask and prioritize responsibilities in a busy school environment Strong phone, email, and written communication etiquette Comfortable working with parents, young children, teachers, and school leadership Proficiency with Microsoft Office, Google Workspace, spreadsheets, email, and general computer systems Strong typing and data-entry skills Previous receptionist, administrative, customer service, preschool, or office experience preferred Experience with Procare, QuickBooks, or childcare management software is a plus Bilingual English/Mandarin Chinese is highly preferred Ability to maintain confidentiality and handle sensitive family and employee information professionally Dependable, punctual, positive, and able to work as part of a team Ideal Candidate The ideal candidate is someone who naturally enjoys helping people and understands that the front office sets the tone for the entire school.
