Job Description
We are seeking a highly organized and detail-oriented Administrative Assistant to support our team with day-to-day administrative and collections-related tasks. This position will help ensure documents are received, sent, and properly maintained while providing backup support to the collections team when needed. The ideal candidate is dependable, organized, comfortable communicating with customers and insurance representatives, and able to step in and assist team members when they are out of the office. Responsibilities Help confirm that requested documents have been received and follow up on any missing documentation. Assist with sending documents, invoices, estimates, photos, and other requested information to customers, insurance companies, and other parties. Provide collections follow-up support when a team member is out of the office , including making follow-up calls and sending emails regarding outstanding payments. Help follow up on the status of payments, invoices, and outstanding documentation . Document calls, emails, payment updates, and other communication accurately in the appropriate system. Assist with organizing and maintaining electronic files and documentation. Perform data entry and review information for accuracy and completeness. Answer and direct phone calls and emails professionally. Provide administrative support to the collections and office teams as needed. Help ensure important documents and follow-ups do not fall behind when another team member is absent. Maintain confidentiality of customer, insurance, and company information. Experience & Qualifications Previous administrative, clerical, customer service, or collections experience preferred. Strong organizational skills and attention to detail. Comfortable making professional follow-up phone calls and sending emails. Ability to manage multiple tasks and priorities in a fast-paced environment. Strong computer and data-entry skills. Experience with Microsoft Office and Google Workspace. QuickBooks or bookkeeping experience is a plus but not required. Strong written and verbal communication skills. Dependable and able to provide backup support when other team members are unavailable. Bilingual skills are a plus.
