Office Administrator / Assistant Position Cultivated Technology Group, Inc. Fresno, CA Who We Are Cultivated Technology Group (CTG) is a custom software company based in Fresno, California. We build technology around the way our customers actually work, with a focus on production agriculture and manufacturing. Alongside our client work, we also develop and operate our own software products. We are a small, experienced team that values good work, personal accountability, straightforward communication, and work-life balance. About the Position We are looking for an experienced Office Administrator / Assistant who can become a trusted part of our day-to-day operation and work directly with our CEO. Someone who understands what a small family business is and what we are not. This is an in person position only . This is not an entry-level administrative position. We are looking for someone who has spent years learning how to keep an executive and an office organized, communicate professionally, stay ahead of deadlines, and make sure important details don't get missed. We are looking for someone who is comfortable with day-to-day admin work, bookkeeping, assistance, and understands the importance of good financial records, and can work effectively with our CPA to make sure they receive accurate and organized information. This position will provide administrative support across the CEO's related businesses including technology and agriculture. Some duties include scheduling a meeting, writing an email, following up on an outstanding invoice, coordinating with outside vendors, handling an insurance renewal, or getting an administrative issue resolved. For someone who has made a career out of keeping people and businesses organized, we think this can be a rewarding position with a great deal of trust and autonomy. What You'll Be Responsible For Office Administration / Assistant Provide direct administrative support to the CEO Manage calendars, appointments, meetings, and scheduling Coordinate meetings and make sure the appropriate parties have the information they need Draft clear, confident, and professional emails and correspondence Communicate professionally with customers, vendors, employees, and outside professionals Make phone calls and follow up on open items without needing to be continually prompted Help organize priorities, commitments, and outstanding items Maintain organized company records, documents, contracts, and administrative files Track important dates, renewals, filings, and recurring obligations Coordinate business licenses, registrations, and insurance renewals Assist with purchasing, vendor relationships, and general office needs Help improve administrative processes and organization as needed Bookkeeping & Financial Coordination Maintain organized and current day-to-day bookkeeping records Keep transactions, receipts, invoices, and supporting documentation organized and properly recorded Reconcile bank and credit card activity and identify items that need clarification Process accounts payable and help ensure vendors are paid on time Maintain accounts receivable records Professionally follow up with customers regarding outstanding invoices and payment status Coordinate with our outside CPA and provide requested records and documentation Work with the CPA to resolve bookkeeping questions and make requested corrections or adjustments Keep employee expenses and reimbursements organized and documented Monitor recurring charges and subscriptions and flag anything unusual or unnecessary Maintain visibility into what has been paid, what remains outstanding, and what requires attention Payroll & Employee Administration Process and coordinate payroll accurately and on schedule Maintain payroll records and required documentation Maintain PTO and employee time-off records Coordinate employee onboarding and off-boarding paperwork Maintain organized employee records Assist with routine employment-related administrative filings and documentation Coordinate with outside payroll, accounting, insurance, or other professional providers when needed What We're Looking For The person we're looking for has experience and confidence. Strong candidates will:
Communicate confidently and professionally by phone, email, and in person Write polished and impactful business emails without needing someone else to rewrite them Be comfortable setting meetings, coordinating schedules, and following up with people Be willing to pick up the phone when a phone call is the best way to solve something Be comfortable having professional but sometimes difficult conversations, including following up with customers about outstanding receivables Understand good customer service and represent the company well Take an assignment from beginning to end rather than waiting for instructions at every step Research unfamiliar issues and identify the right person or resource to contact Know when to handle something independently and when something genuinely needs to be escalated Keep track of details and deadlines without requiring constant reminders Adapt comfortably between different types of responsibilities and changing priorities Maintain discretion with confidential company, financial, employee, and executive information Take pride in being organized, accurate, responsive, and dependable Experience & Qualifications Minimum of 5 years of directly relevant professional experience required 6+ years of office administration, executive support, bookkeeping, or similar career experience strongly preferred Demonstrated experience supporting a business owner, executive, or senior leadership team preferred Experience with day-to-day bookkeeping and maintaining organized financial records Experience with QuickBooks preferred Experience with accounts payable and accounts receivable Experience with bank and credit card reconciliations Payroll processing or payroll coordination experience preferred Strong written and verbal communication skills Strong computer and general office technology skills Excellent organizational skills and attention to detail Ability to manage multiple priorities independently Experience working with an outside CPA or accounting firm is a plus Experience in a small business, professional services company, or entrepreneurial environment is a plus
Pay:
$18.00 - $26.00 per hour Expected hours: 20.0 - 30.0 per week
