Job Description
Overview Join our dynamic team as an Administrative Assistant and become the backbone of our office operations! You will be the first point of contact, manage essential administrative tasks, and help foster a productive and welcoming workplace atmosphere. Your proactive approach and attention to detail will be vital in supporting our team's success. Responsibilities Manage front desk duties, including greeting visitors, answering multi-line phone systems, and directing calls with professional phone etiquette Organize and maintain office files, records, and documentation through efficient filing systems and data entry processes Coordinate calendar management, schedule appointments, meetings, and conference room bookings using productivity software and calendar tools Prepare correspondence, reports, spreadsheets, and word processing documents with strong computer skills and technical proficiency Support office management tasks such as ordering supplies, maintaining inventory, and overseeing office equipment maintenance Assist with client communication and customer support to ensure positive interactions and timely responses Handle clerical duties including typing, data entry, photocopying, scanning documents, and managing email correspondence Requirements Proven office experience with strong organizational skills and attention to detail Proficiency in Microsoft Office Suite (Word, Excel, Outlook) and familiarity with spreadsheets and data entry software Experience with QuickBooks or similar accounting software is a plus Excellent communication skills in both verbal and written formats; bilingual abilities are highly desirable Ability to manage multiple tasks efficiently while maintaining high productivity levels Strong computer literacy including familiarity with office management tools and technical proficiency in productivity software Previous experience in front desk operations or administrative support roles preferred Demonstrated time management skills with the ability to prioritize tasks effectively Personal assistant experience or office management background is advantageous Embark on a rewarding career where your organizational talents make a real impact!
