Job Summary At W Dermatology, we are seeking a professional, organized, and dependable Front Office/Administrative Assistant to support the daily operations of our dermatology practice. This position serves as a primary point of contact for patients while also managing scheduling, insurance verification, billing support, prior authorizations, and general administrative responsibilities. The ideal candidate is detail-oriented, able to multitask in a fast-paced environment, and committed to providing exceptional patient service. Manhattan Beach Office Essential Duties & Responsibilities Front Office & Administrative:
Courteously check patients in and out according to our Customer Service standards. Schedule, confirm, and maintain appointments for our Physicians and Physician Assistant. Create and maintain accurate, up-to-date patient charts. Prepare superbills accurately and in a timely manner. Collect patient payments and balance/reconcile money collected during each shift. Maintain inventory and place orders as needed. Assist with other administrative duties to support the overall function of the office.
Patient Service & Communication:
Provide courteous, professional, and compassionate service to patients. Listen attentively and communicate effectively and kindly when addressing patient questions or concerns. Remain calm, professional, and solution-oriented when handling challenging situations. Work collaboratively with providers and staff to ensure a positive patient experience. Anticipate and respond positively to changing conditions and patient needs.
Insurance & Billing:
Verify patient insurance eligibility and benefits - including deductibles, copays, Medicare vs. PPO/HMO coverage, authorizations, and primary/secondary coverage. Accurately interpret insurance cards and enter appropriate payer information. Verify payer participation and determine appropriate billing requirements Prepare and submit prior authorization requests for visits and procedures as needed, and follow up to ensure timely approval.
Organization & Work Efficiency:
Maintain a neat, organized, and professional front office. Multitask effectively and complete responsibilities accurately and efficiently. Anticipate changing priorities and take initiative to support the overall workflow of the office. Stay focused and organized while working in a fast-paced environment. Maintain organized and accurate administrative documentation.
Compliance & Confidentiality:
Follow all HIPAA regulations and maintain strict confidentiality of patient personal, medical, and financial information. Handle patient records and financial information with discretion and professionalism.
