Job Description

About Us:
The Robb Group is a fast-growing, independent property management company located in La Cañada Flintridge. We manage a dynamic portfolio of residential units and are looking for a highly organized, proactive Administrative Assistant to be the true right-hand to the owner. We are looking for a true jack-of-all-trades with a growth mindset. You need to be just as comfortable sitting at a desk drafting a lease or marketing a property as you are jumping in your car to conduct a showing or copy keys. If you are an administrative pro who loves keeping a busy office organized and doing whatever it takes to help scale the business, we want to talk to you.
Your Day-to-Day Responsibilities:
Marketing & Showings:
Market vacant units, manage online rental listings, take property photos, and conduct occasional lease showings for prospective tenants as needed.
Administrative & Tech:
Process rental applications, draft lease agreements, and manage tenant ledgers.
AppFolio Management:
Navigate our PM software to track maintenance requests, update owner profiles, and monitor listings. (AppFolio experience is a HUGE plus!)
Boots-on-the-Ground:
Drive to local properties to handle move-in/move-out inspections, coordinate with vendors on-site, or meet with tenants.
Tenant Relations:
Act as the first point of contact for tenant inquiries, maintenance dispatching, and general communication.
Office Hustle & Growth:
Run standard office errands to optimize the owner's schedule (running to the hardware store for keys, post office runs, grabbing lunch) and jump into new projects as needed to help the company expand.
What We Are Looking For:
Experience:
Proven background as an Administrative Assistant, Office Manager, or PM Assistant.
Software Skills:
AppFolio experience is heavily preferred. You must be tech-savvy and comfortable learning new systems quickly.
Attitude:
A humble, "no task is too small" mindset. You thrive in a supportive role, love bringing order to chaos, and are excited to help a small business grow.
Requirements:
A valid driver's license, reliable transportation, and valid auto insurance are mandatory for local property visits and errands.

Pay:
