This role offers an exciting opportunity to work closely with senior management, manage complex schedules, coordinate projects, and ensure the smooth functioning of the office environment. The ideal candidate will be proactive, detail-oriented, and possess excellent communication skills, ready to handle a variety of administrative tasks with energy and professionalism. Duties Manage and coordinate executive calendars, including scheduling meetings, appointments, and business travel arrangements using tools like Microsoft Outlook Calendar and Google Workspace. Organize and facilitate company events, meetings, and conferences from planning stages through execution, ensuring all logistics are handled efficiently. Handle internal communication by drafting emails, memos, and reports; proofread documents for accuracy; and transcribe meeting notes as needed. Oversee office management tasks such as filing, data entry, managing multi-line phone systems, and maintaining confidential information with discretion. Support bookkeeping activities using QuickBooks or similar software; assist with invoicing, expense tracking, and basic bookkeeping duties. Coordinate project activities across teams to ensure deadlines are met; utilize project management tools to track progress and facilitate collaboration with C-suite executives. Prepare presentation materials using Microsoft Office Suite; assist with organizing files and maintaining an organized office environment. Experience Proven experience as a Personal Assistant or Executive Administrative Support role within a professional office setting. Demonstrated ability to manage multiple priorities efficiently in a fast-paced environment. Strong organizational skills with attention to detail; capable of handling data entry, filing systems, and document proofreading accurately. Proficiency in productivity software such as Microsoft Office (Word, Excel, PowerPoint), Google Workspace (Docs, Sheets), and video conferencing tools like Zoom or Microsoft Teams. Experience coordinating business travel arrangements and managing complex calendars for executives. Excellent written and verbal communication skills with professional phone etiquette; ability to handle confidential information responsibly. Familiarity with office management tasks including front desk duties, customer service interactions, and internal communication protocols. Technical proficiency in office equipment, bookkeeping software like QuickBooks, and document signing platforms such as DocuSign.
