This role is essential in ensuring the smooth coordination and management of banquet events, providing exceptional support to clients, staff, and vendors. The ideal candidate will thrive in a fast-paced environment, demonstrating excellent communication skills, meticulous attention to detail, and a proactive approach to office management. This paid position offers an exciting opportunity to be at the heart of memorable events while honing your administrative expertise. Duties Maintain accurate records of event details, client preferences, and contractual agreements through efficient data entry and filing systems Coordinate with all other departments and service teams to ensure all event requirements are met seamlessly Support & Assist the Sales Office, to include General Manager, Director of Event Sales and Sales Associates with weekly assignments. Handle multi-line phone systems with professionalism, demonstrating excellent phone etiquette while directing calls and taking messages Process invoices and payments per company policy Support the front desk operations by greeting clients, managing appointments, and handling confidential information discreetly as well as maintaining guest area fully stocked. Skills Proficiency in Microsoft Office Suite (Word, Excel, Outlook) along with strong computer literacy skills Experience with office management tasks including filing, data entry, and clerical support Exceptional organizational skills with the ability to prioritize tasks effectively in a busy environment Excellent verbal and written communication skills; bilingual abilities are a plus for diverse client interactions Strong customer service orientation with the ability to handle clients, guests and vendor questions professionally and courteously Ability to manage confidential information with integrity and discretion Skilled in proofreading documents for accuracy and clarity Time management skills that enable multitasking across various responsibilities efficiently Previous personal assistant or office assistant experience is advantageous Join us as a Banquet Event Office Admin and become an integral part of creating unforgettable experiences!
