The ideal candidate will have excellent communication and customer service skills, strong organizational abilities, and the ability to multitask while maintaining a positive and professional attitude. This position serves as the first point of contact for clients, residents, applicants, vendors, agents, and visitors, and plays an important role in supporting daily office operations and administrative functions. Duties and Responsibilities Duties include, but are not limited to: Interact professionally with clients, residents, applicants, agents, vendors, and visitors Answer and direct incoming telephone calls and messages Maintain office calendars and coordinate schedules for Supervisors and staff Transcribe, create, edit, and modify documents including letters, memorandums, contracts, spreadsheets, notices, and reports using Microsoft Word, Excel, and other office software Process payments and assist with general office accounting support Respond to client, resident, and vendor inquiries in a timely and professional manner Maintain and update client, resident, applicant, and vendor information Perform general clerical duties including copying, scanning, faxing, mailing, filing, and organizing both electronic and hard-copy records Sort and distribute incoming mail, correspondence, packages, UPS/FedEx deliveries, and faxes Open and organize Supervisor correspondence for review Conduct research, compile information, and prepare reports or documents as requested Assist with leasing support, scheduling appointments, and coordinating office activities Run occasional business-related errands as needed Maintain confidentiality regarding company, staff, resident, and client information Assist with social media postings, online communications, and general computer-related tasks Balance multiple incoming calls, tasks, paperwork, and priorities in a fast-paced office environment Support office staff and management with additional duties and special projects as assigned Tracking receipts and payments and allocating to the properties. Knowledge, Skills, and Abilities Strong verbal and written communication skills Excellent customer service and interpersonal skills Strong organizational, analytical, and problem-solving abilities Ability to multitask and work efficiently under deadlines Knowledge of office administration, records management, and general office procedures Computer literate with proficiency in Microsoft Word, Excel, email, and standard office software Social media and basic technology skills required Ability to operate standard office equipment including computers, copiers, scanners, telephone systems, calculators, and fax machines Ability to follow oral and written instructions and work independently as well as part of a team Professional appearance and demeanor Requirements Must pass a background check Valid driver's license required Reliable transportation and current automobile insurance required Ability to work Saturdays Dependable, punctual, and able to maintain confidentiality at all times This is an excellent opportunity for someone looking to grow within the property management and real estate industry while working in a supportive, team-oriented environment.
