We are seeking a detail-oriented and highly organized Litigation Administrative Assistant with 3-5 years of relevant experience to provide comprehensive administrative support to our attorneys and litigation team. The successful candidate will be proficient in preparing and filing litigation documents, managing deadlines and calendars, maintaining case files, and supporting matters through all phases of litigation.
Key Responsibilities:
Prepare, format, proofread, and revise pleadings, motions, discovery, correspondence, and other litigation documents File and serve documents in state and federal courts, including through applicable electronic filing systems Maintain litigation calendars and docketing systems; calculate, monitor, and communicate court, discovery, and filing deadlines Coordinate depositions, hearings, mediations, trials, attorney meetings, and related travel or logistics Organize and maintain electronic and physical case files, pleadings, discovery materials, exhibits, and correspondence Assist with discovery production, deposition preparation, hearing binders, trial notebooks, and exhibit management Communicate professionally with clients, opposing counsel, courts, vendors, and internal team members Process attorney time entries, invoices, expense reports, and litigation-related vendor charges Provide backup coverage and perform other litigation and administrative duties as assigned
Qualifications:
High school diploma or equivalent required; associate degree, bachelor's degree, or certificate in legal or paralegal studies preferred Three to five years of experience as a litigation administrative assistant, legal secretary, or in a comparable litigation support role Working knowledge of state and federal court rules, electronic filing procedures, litigation terminology, and calendaring requirements Strong written and verbal communication skills, including advanced proofreading and document-formatting ability Proficiency in Microsoft Office Suite, including Word, Excel, Outlook, and Adobe Acrobat Excellent organizational skills, attention to detail, and ability to prioritize multiple deadlines in a fast-paced environment Ability to work independently and collaboratively while handling confidential and sensitive information with discretion
Preferred Skills:
Experience with legal practice management, document management, docketing, and electronic filing systems Prior experience supporting civil litigation matters through discovery, hearings, mediation, and trial Knowledge of CCP codes, California Rules of Court, Local Rules of Court Notary Public certification (or willingness to obtain)
