Chef Thomas Keller's, Regiis Ova is seeking an Administrative Assistant, based in Northern California. This position is responsible for a broad variety of administrative tasks and is not limited to: managing personal and professional engagements, creating organizational solutions for files and records, coordinating event details, client support and managing daily logistics. It requires discretion, adaptability, collaborative and self-starter skills. You will assist the President and Director of Sales as well as the operations team as needed with daily logistics. Strong organizational skills, attention to detail, and ideally, a passion for the food and beverage space will help in supporting a small yet mighty team. We're looking for someone to help organize, sort out tasks (take on some of those tasks), follow up with clients/accounts payable and internal team members.
Client relations for new orders, FedEx tracking and accounts payable Assist on conference calls, take detailed notes. Conduct follow up e-mails. Errands can include delivering orders, picking up orders, FedEx drop off, etc. Ability to perform tasks in Excel and Microsoft Office Support with packaging inventory and reordering as needed. Create organizational solutions for computer files; business, financial and household records.
Qualifications Be discrete and trustworthy:
you will often be party to confidential information. Resourceful, ability to work alone, finding solutions with sometimes limited information. Excellent written & verbal communication skills, time management and ability to prioritize Proficiency with online communication, Zoom, MS Excel, MS Word & Google Docs Ability to coordinate projects and keep track of details with strong attention to detail Be flexible, dependable, and adaptable. Possess excellent oral and written communication skills. Have the ability to be proactive and take the initiative. Experience as an assistant (and passion for the hospitality industry) a plus, not needed.
