About the company Bedrock Residential is a multi-company real estate organization based in Ontario, California. This seat sits under the CFO and supports the administrative backbone of the whole group. We are seeking a highly organized, proactive, and dependable Administrative Assistant to support daily office operations while developing into an Executive Assistant role supporting the CFO. The position will initially focus on mail and document management, office organization, errands, supplies, and general administrative support. As the employee gains experience, responsibilities will expand to include executive scheduling, payroll administration, employee onboarding and offboarding, entity tracking, special projects, and direct CFO support. What you'll own Office and Administrative Support Manage incoming and outgoing mail, shipments, certified documents, scanning, electronic distribution, and filing Maintain organized physical and electronic records, office supplies, common areas, and administrative materials Order supplies and coordinate routine office maintenance and vendor needs Complete bank deposits, bank runs, business errands, document deliveries, and pickups of supplies, lunches, checks, and other items. Business mileage will be reimbursed according to company policy Assist with meetings, meeting preparation, and miscellaneous administrative projects CFO and Executive Support (as the role develops) Manage calendars, schedules, meetings, appointments, reservations, and other business arrangements Prepare meeting agendas, reports, documents, and supporting information Organize CFO correspondence and maintain task, priority, deadline, and action-item lists Follow up with the CFO and team members to ensure assignments are completed Identify approaching deadlines, missing information, and items requiring attention Assist with special projects and other CFO administrative needs Payroll and Employee Administration Gather, enter, and track payroll information and changes in ADP Prepare payroll materials for CFO review and maintain related employee records Support employee cost and entity allocations Coordinate onboarding and offboarding, including paperwork, ADP setup, payroll and benefits enrollment, access, equipment, checklists, and required documentation Maintain current employee records, equipment assignments, internal employee lists, and termination records Handle confidential employee, payroll, financial, and company information appropriately This role supports payroll and employee administration but is not responsible for outside bookkeeping Entity Administration As responsibilities expand, maintain a centralized tracker of company entity information, including legal names, ownership, EINs, business and mailing addresses, entity changes, and other corporate information maintained by the CFO Systems and Technology Google Workspace and Gmail Microsoft Excel Electronic document management systems ADP, strongly preferred Candidates should be comfortable learning new systems and software The bar for this role The ideal candidate is detail-oriented, resourceful, comfortable asking questions and holding the CFO to her to-do's, and committed to following through on both routine and high-priority tasks. The successful candidate is proactive, dependable, detail-oriented, adaptable, and committed to closing the loop on assignments. They should be comfortable managing changing priorities, following up with others, including the CFO, asking questions, identifying missing information, and handling both small administrative tasks and increasingly important responsibilities. A "no task is too small" attitude, strong initiative, sound judgment, and interest in learning how a multi-company organization operates are essential. This is a developmental role with a clear progression: Office Support, then Administrative Assistant, then Executive Assistant / CFO Support. The employee will begin by building a strong foundation in office administration and gradually assume responsibility for scheduling, deadlines, payroll coordination, employee administration, entity information, projects, and follow-up across multiple companies. Requirements Must have 1 to 2 years of administrative, HR administrative, payroll support, or similar experience Experience handling confidential information Strong organizational, time-management, written, and verbal communication skills Working knowledge of Excel, Google Workspace, and Gmail Valid driver's license, reliable personal transportation, and appropriate automobile insurance for occasional business errands Ability to work full-time and in person in the Ontario office Preferred ADP experience Bilingual English/Spanish, strongly preferred How to apply Send a resume and a short note describing a time you chased down something a manager had let slip, and how you handled it.
