Job Description
Description We are looking for a detail-oriented Administrative Assistant to support daily office operations in California. This is a Contract position suited for someone who brings strong organizational skills, a capable presence, and a responsive approach to customer service. The ideal candidate will help maintain efficient administrative processes, assist with financial data entry tasks, and provide dependable support across a busy office environment.
Responsibilities:
- Serve as a primary point of contact for residents, addressing questions and concerns in a timely and attentive manner.
- Enter invoices and complete routine data input with accuracy while supporting day-to-day administrative workflows.
- Assist with basic general ledger coding and help organize financial documentation for internal use.
- Maintain orderly records, update files, and ensure administrative information is accurate and easy to access.
- Prepare correspondence, trackers, and simple reports using Microsoft Office applications.
- Provide front office and clerical support, including phone coverage and reception-related duties as needed.
- Contribute to overall team efficiency by handling additional administrative assignments and office support tasks. Requirements
- At least 2 years of experience in an administrative assistant or office support role.
- Demonstrated ability to deliver detail-focused, service-oriented support in an office setting.
- Strong working knowledge of Microsoft Office Suite, including tools used for documents, spreadsheets, and communication.
- Comfort with technology and the ability to learn new software and internal systems quickly.
- Experience with invoice entry, data entry, or similar administrative recordkeeping tasks.
- High level of accuracy, organization, and attention to detail when managing multiple priorities.
- Familiarity with Jonas software is beneficial but not required.
