Job Description

Supreme Solar &;Electric is a leading solar energy and electrical services company proudly serving the Coachella Valley and surrounding communities. We are passionate about delivering clean, affordable energy solutions to our customers — and we are growing. We are looking for a motivated, detail-oriented Administrative Assistant to join our team and help us keep every project moving from start to finish.
POSITION OVERVIEW
The Administrative Assistant plays a critical role in the daily operations of Supreme Solar & Electric. In this position, you will serve as the organizational backbone of our project workflow — coordinating all clerical tasks, communicating directly with customers, and ensuring every project advances smoothly through each stage of completion. KEY RESPONSIBILITIES
 Facilitate and coordinate solar installation projects from initiation through completion, ensuring all administrative milestones are met on schedule.  Contact customers directly to collect required documentation, obtain signatures, and communicate project status updates in a professional and friendly manner.  Submit Homeowners Association (HOA) applications and track approval status through to resolution.  Prepare and submit city permit applications, ensuring accuracy and compliance with local requirements.  Conduct permit runs to city offices and relevant municipal agencies as needed.  Attend and support plan walkthroughs, ensuring all required sign-offs and paperwork are completed.  Proactively follow up with customers via phone and email to maintain project momentum and resolve any outstanding items.  Maintain accurate project records and update the company CRM/database with current project information.  Handle general clerical duties including filing, data entry, correspondence, and document management.  Collaborate with internal teams — including sales, operations, and field crews — to ensure seamless project handoffs and timely communication.
REQUIREMENTS
 Valid driver's license and reliable transportation (local travel to permit offices and project sites required).  Personal laptop required for use in the office.  Proficiency with CRM software, or demonstrated ability to quickly learn and adapt to new database management systems.  Strong verbal and written communication skills with a professional, customer-friendly phone manner.  Highly organized, detail-oriented, and capable of managing multiple projects and deadlines simultaneously.  Self-motivated with the ability to work independently and take full ownership of assigned tasks.  Comfortable working in a fast-paced, team-oriented office environment.
PREFERRED QUALIFICATIONS
 1 year of experience in the solar industry preferred — but not required. We are happy to train the right candidate.  Prior experience in administrative support, project coordination, or a related field.  Familiarity with HOA processes and/or municipal permitting.  Experience using CRM platforms (e.g., Salesforce, HubSpot, or similar).  Bilingual (English/Spanish) is a plus.
COMPENSATION & SCHEDULE
Pay Rate:
$20.00 - $25.00 per hour, commensurate with experience. 
