This 100% onsite role supports a busy fleet maintenance and operations team. This is a strong opportunity for an organized administrative professional who enjoys keeping processes moving, communicating across departments, and ensuring records, billing paperwork, and operational documents are accurate and up to date. The Administrative Assistant will play an important role in supporting daily office operations, helping the shop and billing teams stay aligned, and contributing to a productive, team-focused workplace. Candidates who thrive in this role are dependable, professional, highly organized, and comfortable balancing phone coverage, reporting, filing, invoicing support, and system updates in a fast-paced environment. Key Responsibilities Answer and direct incoming phone calls in a professional and timely manner. Prepare, organize, and distribute routine reports, documents, and administrative materials. Maintain accurate electronic and physical filing systems for fleet maintenance and office records. Reconcile billing paperwork submitted by mechanics, vendors, and service providers. Administer invoice billing and payment processes to support accurate and timely processing. Maintain fleet records in the TMT system, including work orders, vendor invoices, and related documentation.
