Administrative Assistant Summary :
Administrative Assistant serves as a primary point of contact for Opolo guests, wine club members, and vendors. This position provides administrative and operational support primarily in an office environment, with occasional support on the Tasting Room floor as needed. The ideal candidate is highly organized, proficient with technology, and committed to delivering exceptional customer service through phone, email, and in-person interactions. Strong communication skills, attention to detail, and the ability to prioritize and complete tasks efficiently are essential. Opolo Wines LP is a family-owned and operated winery seeking a team-oriented individual with excellent interpersonal skills and a genuine passion for customer service. Weekends and holidays are required. Compensation DOE- $20 -$25 per hour
Essential Functions:
Assists the Wine Club Department with daily administrative tasks.- Supports quarterly club runs and provides customer support as assigned by Wine Club Manager.
- Engages with customers via phone and email to coordinate tastings reservations
- Enter club members data into Tock, to include details of the reservations and internal notes
- Answer telephone, screen, and direct calls, respond to emails in a timely manner (within 24 hours)
- Assist Wine Club team with daily task & weekly inventory Channeling outreach to the appropriate department.
- Organizes and forwards emails, calls, and website submissions to each department head Other Office Duties include:
- Keeping the office stocked with supplies
- Cleaning office as needed Performs other duties as assigned
Working Conditions:
- Occasional long and irregular hours during peak seasons and/or special events
- Sitting for long periods of time
- Ability to focus and maintain high level of customer service in a high traffic, busy office Ability to lift at least 50 pounds repeatedly (case of wine)
Requirements:
Must be 21 years of age; High School diploma or GED required. One to two years of sales, winery, hospitality, or customer service experience preferred. Excellent written, verbal, and interpersonal communication skills. Proficient with technology, including Microsoft Office, POS systems, and other supporting software. Strong sales and customer service skills with the ability to build relationships and communicate effectively with customers.- Maintain the confidentiality of company and customer information and exercise discretion when handling sensitive matters.
