We provide customization and fabrication services to the tile and construction industry in Southern California and throughout the Western United States. We are seeking a reliable, organized, and proactive Office Assistant to keep our day-to-day operations running smoothly. Position Summary As our Office Assistant, you will be the heart of our daily operations and often the first point of contact for our clients and visitors. You will handle administrative support, manage incoming communications, maintain organization in the office, and assist team members with various routine tasks.
Key Responsibilities Front Desk & Client Services:
Greet guests, clients, and visitors with a friendly and professional demeanor. You would be the first point of contact for most customers Customer-facing business operations such as: Intake/processing of new orders
Shipping and Receiving Billing and Initial Accounts Receivable Administrative & Clerical Support:
Prepare, format, and organize documents, spreadsheets, and routine correspondence. Answer, screen, and direct incoming phone calls and emails. Maintain digital and physical filing systems to ensure accurate records. Data entry and basic record-keeping support.
Office Management & Operations:
Monitor and order office supplies to ensure essential inventory is stocked. Maintain a clean, organized, and welcoming office environment
Qualifications & Skills Experience:
Any administrative, customer service, or previous office support roles
Education:
High School Diploma or equivalent required; Associate's degree or relevant coursework is a plus.
Technical Skills:
Basic proficiency with office programs such as Microsoft Office (Word, Excel, Outlook) and/or Google Workspace (Docs, Sheets, Gmail). Additional experience with QuickBooks appreciated. Familiarity with basic office equipment (printers, scanners, multi-line phone systems) is useful
Soft Skills:
Strong written and verbal communication skills.
Basic Math Skills:
multiplication, division, fractions. (Calculators provided) Exceptional organizational skills and close attention to detail. Ability to prioritize tasks, work independently, and solve everyday office challenges. A warm, professional demeanor and strong interpersonal skills.
