Job Description

POSITION SUMMARY
The Shingle Springs Tribal TANF program consists of four offices located in Sacramento, Placer, El Dorado, and Yolo Counties. These county offices deliver cash assistance, supportive services, case management, employment, education, and prevention services to families while maintaining its core values of providing culturally competent services. Under the direct supervision of the Prevention Department Manager, the Prevention Department Assistant provides administrative and clerical support to the Prevention Department. This position assists with community outreach activities, client support services, recordkeeping, data entry, and other day-to-day departmental functions that support prevention programs aimed at strengthening families and promoting self-sufficiency. The Prevention Department Assistant works closely with department staff, families, and community partners to help ensure services are delivered effectively and that program records and documentation are maintained accurately and confidentially.
ESSENTIAL FUNCTIONS 1.
Assist with the planning and delivery of prevention programs, workshops, events, and other department activities. 2. Respond to participant and public inquiries and provide general information about prevention services, programs, and available resources. 3. Assist participants with completing forms, applications, and other required program paperwork. 4. Welcome and assist participants, community members, and visitors in a respectful, supportive, and culturally responsive manner. 5. Maintain accurate and confidential participant files, records, and program documentation in accordance with Tribal, TANF, and departmental policies. 6. Enter and maintain program data, records, and other information needed for departmental tracking and reporting. 7. Assist with scheduling appointments, maintaining department calendars, and coordinating logistics for workshops, meetings, and community events. 8. Provide general administrative support to the Prevention Department, including answering phones, greeting visitors, preparing correspondence, filing documents, and maintaining office and program supplies. 9. Work cooperatively with department staff, families, community partners, and other Tribal programs to support prevention services and activities. 10. Attend department meetings, staff trainings, and professional development opportunities as assigned. 11. Perform other duties as assigned.
MINIMUM QUALIFICATIONS
High school diploma or GED required. 2. One (1) year of demonstrated work experience in an office clerical and/or administrative support position, using Microsoft Office (including Outlook). 3. Strong communication, data entry, and organizational skills. Strong attention to detail. Excellent grammar, punctuation, and spelling skills required. Ability to handle confidential and sensitive information with tact and diplomacy. 7. Must be available to work nights and weekends. 8. Must display awareness and sensitivity to the cultural, ethnic, and socio-economic diversity of program participants and their families. Physical ability to lift, carry, and move items weighing up to 25 pounds, as well as perform typical office related physical tasks as needed. Must have a valid, unrestricted California Driver's license and qualify for the Tribe's vehicle insurance.
NATIVE PREFERENCE
Preference in hiring is given to either the most qualified applicant or a Native American candidate who meets the minimum qualifications. When two (2) or more Native American candidates have comparable qualifications, the following order of preference shall apply: (1) Members of Shingle Springs Band of Miwok Indians; (2) Spouses or domestic partners (certified through Tribal Court) of members of Shingle Springs Band of Miwok Indians; (3) Parents of children of the Shingle Springs Band of Miwok Indians; (4) All other documented Native Americans; (5) All other applicants in accordance with Title 25, U.S. Code, Section 472 and 473. Applicants claiming Native preference must submit verification of Indian eligibility.
