Up to 10% About the Opportunity PDS Defense, Inc. is seeking an experienced Administrative Assistant 3 to support leadership within the Structures Operating Unit (OU) in San Diego, CA. This role requires a highly organized professional who can manage multiple priorities, exercise independent judgment, and provide exceptional administrative support in a fast-paced environment. The ideal candidate will have extensive experience supporting managers and directors, excellent communication skills, and the ability to proactively anticipate and address leadership needs. Key Responsibilities Proactively manage high-volume executive calendars, including scheduling recurring meetings, handling urgent requests, and resolving scheduling conflicts. Coordinate meetings and appointments for assigned leaders and staff members. Support weekly, monthly, quarterly, and ad hoc reporting activities by collecting data, preparing draft documents, tracking deliverables, and facilitating timely submissions. Arrange domestic and international travel, including itinerary planning and expense report processing. Attend Operations and Business Staff meetings, prepare agendas, track action items, and coordinate follow-up activities. Lead the planning and execution of quarterly All-Hands meetings for 500+ employees, including presentation development, logistics coordination, facilities support, and IT resources. Coordinate remote office participation for company-wide meetings and events. Partner with Business Unit Executive Administrators on calendar management and business deliverables. Review, edit, and distribute internal communications and announcements. Support customer visits, VIP meetings, facility tours, and related event planning activities. Coordinate on-site and off-site meetings, including conference room reservations, catering, and event logistics. Manage the OU New Hire Welcome Program and related onboarding activities. Respond to employee inquiries and provide administrative support or resource referrals. Support special projects and provide back-up assistance to other administrative staff as needed. Required Qualifications High School Diploma or equivalent. Minimum of 5 years of experience as a Senior Administrative Assistant or Executive Assistant supporting managers and directors. Demonstrated ability to manage multiple, competing priorities in a dynamic environment. Strong interpersonal, organizational, and communication skills. Intermediate to advanced proficiency with Microsoft Office applications. Ability to work independently, exercise sound judgment, and maintain confidentiality. Preferred Qualifications Proven ability to successfully multitask while maintaining a positive and professional attitude. Experience supporting teams located across multiple time zones. Advanced proofreading, editing, and document preparation skills. Strong attention to detail and project coordination abilities. Experience coordinating large-scale meetings and employee events.
