Job Summary:
Maintains student enrollment, files, and attendance. Is the primary school receptionist. Does non-confidential typing and reports for Office Manager and Superintendent/Principal and others (as time allows). Essential Functions of this position are, but not limited to, the following: 1. Performs all aspects of student attendance accounting. a. Prepares class limits for attendance. b. Posts each homeroom's attendance. c. Accepts and records absences excuses from parents. d. Calls absentee parents/guardians. e. Notifies parents and staff of excessive absences. f. Prepare all attendance reports including P1, P2, Annual. 2. Provides typing and clerical assistance to Office Manager and Superintendent/Principal and other staff (if time is available). a. Sorts, alphabetizes, and files cards, records, and reports according to defined standards b. Prepares school communications such as the monthly calendar and school reports. c. Types memoranda, letters, lists and other materials from copy, draft. Dictaphone, or clearly defined sources. d. Proofreads typed materials for grammatical and spelling errors. e. Operates standard office equipment. 3. Assists in administering minor first aide to students and monitoring sick students. 4. Distributes and monitor medications. 5. Serves as office receptionist and liaison between public and school. a. Answers routine questions or gives out standard information to employees and the public. b. Receives and interviews office visitors and telephone callers and either answers questions concerning the school's activities or programs or refers person to another source of information 6. Enroll student and maintains all student records. a. Maintain student cumulative record files and emergency cards. b. Checks student cumulative records and forms for completeness and accuracy. c. Assists in checking health records and immunizations records for legal compliance. 7. Performs other related duties as required.
Minimum Qualifications:
1. High School Graduate. 2. Current First Aid/CRP training at least every three years. 3. Passing scores on the SMJUSD Basic Skills Test in reading, writing, and math. 4. Ability to type on word processor at 50 WPM of faster with no errors 5. Valid California drivers license. Knowledge and Ability 1. Ability to maintain information about students and staff in a confidential manner 2. Knowledge of proper English usage, grammar, and punctuation. 3. Knowledge of computer word processing and data management. 4. Ability to use office equipment including computer, dictaphone, typewriter, copier, business phone. 5. Knowledge of effective office practices and telephone techniques. 6. Ability to carry out duties using good judgment, sound decisions, and safe practices 7. Works to maintain cooperative work relationships with staff, parents and students. 8. Ability to work with children who are upset in a positive yet firm manner. 9. Ability to perform multiple tasks with frequent interruptions. Physical Requirements of this position as listed are not exhaustive and may be supplemented as necessary with the requirements of the job. 1. Facility to read materials, books, handwriting, and other printed matter. 2. Facility to hear and understand speech at normal classroom and outdoor levels and on the telephone. 3. Facility to speak in audible tones so that others can understand clearly in classroom, crowded cafeteria, outdoors, and on the phone. 4. Manual dexterity to dial a telephone, type on a computer, write on the board and paper, and perform assigned tasks using both hands. 5. Facility to walk on uneven terrain such as playgrounds. 6. Facility to sit for extended periods of time. 7. Physical strength and agility to lift up to 25 pounds above head to a shelf and up to 50 pounds to waist height and carry 100 feet. 8. Physical agility to bend, stoop, climb stairs, walk, and reach overhead. 9. Facility to drive a car. Board Approved December 14, 2005 Requirements / Qualifications High School diploma.
