Job Description

Job Overview We are seeking a dynamic and highly organized Administrative Assistant to join our team! In this vital role, you will be the backbone of our office operations, ensuring smooth daily functions and providing exceptional support to our staff and clients. Your proactive mindset will help foster an efficient, welcoming environment where everyone feels valued. Duties Schedule clients and monitor clinic schedules (in-person and telehealth). Schedule and manage meetings for staff members and doctors. Communicate appointments and inform of any schedule changes or conflicts. Receive phone calls, texts, respond to emails and answer client questions. Track patient leads and inquiries to improve marketing efforts. Manage client retention and outreach. Schedule and collect payment from clients for services offered (accounts receivable). Scan, file, and keep well-organized patient intakes, reports, and insurance documents (electronic and paper) Submit claims to insurance and research coverage eligibility when requested by potential new patients. Notify patients of results and denials of insurance billing. Maintain the office condition and arrange necessary repairs. Assist with the School of Neurotherapy and NeuroField Inc.'s courses, events, and trainings. Assist with NeuroField Inc equipment packing and shipment. Assist with NeuroField Inc related phone calls and customer questions. Assist with office duties such as restocking supplies, washing dishes, taking out the trash, and refilling water dispensers. Help keep the office as a whole clean and orderly; including the kitchen, bathrooms, front desk, and lobbies. Support the Opening-Closing procedures when needed; flexibility in start/end time is ideal. Support setup, delivery, and takedown of basic NeuroTechnician treatments (hyperbaric oxygen tank, CNS tests, Neurostimulation) when needed. Contribute to a positive work environment through cooperative and professional interactions with co-workers, clients and vendors. Performs other related duties as assigned.
Required Skills/Abilities:
Positive team player Strong verbal and written communication skills Excellent time management and organizational skills Active listener, self-aware, empathetic and kind Detail-oriented Proficient with Microsoft Office and intermediate level computer skills Must be able to articulate the company's products and services while projecting expertise and confidence to potential clients
Education and Experience:
High School Diploma or equivalent required Associates degree in related field preferred. At least 1 year of administrative and clerical experience required.
Physical Requirements:
Prolonged periods of sitting at a desk and working on a computer. Must be able to lift up to 15 pounds at times. Must be able to walk and move around the facility frequently.
Pay:
$25.00 - $30.00 per hour
