Job Description:
Administrative Assistant Position Overview We are seeking a highly organized and professional Administrative Assistant to support day-to-day operational and executive administrative functions in a fast-paced environment. This role requires someone who can manage multiple priorities, communicate effectively, and operate independently while maintaining a high level of professionalism and discretion. The ideal candidate will have strong administrative coordination experience, excellent organizational skills, and advanced proficiency with Microsoft Office tools, particularly Excel and Outlook. This position is heavily focused on: Calendar management Scheduling coordination Invoice tracking Communication support Administrative organization Handling confidential information with discretion Key Responsibilities Manage and maintain calendars, meetings, and scheduling coordination for leadership and team members Coordinate appointments, meetings, and conference logistics Track invoices and maintain administrative documentation and records Prepare and update spreadsheets, reports, and tracking documents Support communication efforts through email correspondence and internal coordination Organize files, documents, and operational workflows Prioritize and manage multiple administrative tasks simultaneously Maintain confidentiality while handling sensitive information Provide general administrative and operational support as needed Required Qualifications 1-3 years of administrative support experience Strong proficiency in Microsoft Office Suite, including: Excel Outlook Word Experience managing calendars and scheduling coordination Experience with invoice tracking and administrative documentation Minimum typing speed of 45 WPM Strong verbal and written communication skills Excellent organizational and multitasking abilities Professional demeanor and strong attention to detail Ability to work independently with minimal supervision Experience handling confidential information with discretion Preferred Qualifications Associate degree preferred Experience supporting multiple leaders or departments Experience in fast-paced office environments Healthcare administrative experience is a plus Background in executive support, office coordination, or operations administration Ideal Backgrounds Candidates with experience in the following environments are encouraged to apply: Healthcare administration Executive assistant support Administrative coordination Office management Corporate administrative support Hospital or medical office administration University or government administrative support What Makes Someone Successful in This Role Strong organizational and time management skills Ability to juggle multiple priorities effectively Clear and professional communication Reliability and accountability Strong attention to detail Ability to maintain confidentiality and professionalism Proactive problem-solving mindset Team-oriented and collaborative approach Additional Information Onsite position Monday-Friday schedule Contract opportunity with potential for long-term opportunities based on business needs
